Job description

We are seeking a highly organized and detail-oriented Sales Admin Virtual Assistant to support our sales and administrative operations. The ideal candidate will have a strong background in administrative tasks, sales reporting, CRM management, and be proficient in various technical tools. This role requires excellent communication skills, a proactive approach, and the ability to work flexible hours to align with our business operations.

Key Responsibilities:

  • Administrative Support:
    • Ensure spray contractors' services align with client contracts for compliance.
    • Maintain organized and easily accessible digital files.
    • Manage and update slide decks for fieldwork presentations.
  • Sales Reporting and CRM Management:
    • Generate detailed sales reports with actionable insights.
    • Update contracts with new processes, incorporating additional services and calculating early termination balances.
    • Manage and optimize CRM data using Service AutoPilot.
    • Collect daily data, schedule maintenance tasks, qualify leads, and update sales documents.
  • Asset Management:
    • Use Asset Tiger to accurately manage and track company assets.
    • Set up and manage new service offerings like Irrigation Maintenance and Mosquito Control.
  • Training and Development:
    • Assist in developing and implementing training programs for field workers.
    • Provide ongoing support for training and development initiatives.
  • HR Support:
    • Facilitate smooth onboarding and offboarding of employees.
    • Assist in employee reviews and maintain updated employee files.
    • Support recruitment efforts, manage job applications via Team Engine, and create job advertisements.
  • Technical Proficiency:
    • Proficient in Service AutoPilot, Asset Tiger, Team Engine, Office 365 (including Copilot), and Google Suite.
    • Advanced in Excel and Google Sheets, capable of creating and managing complex formulas and functions.
  • Communication and Collaboration:
    • Maintain effective communication with team members and clients.
    • Utilize Go High Level for project management and client interactions.
  • Scheduling and Work Hours:
    • Work overnight or early morning hours to align with business operation

Requirements

  • Proven experience in administrative support, sales reporting, CRM management, and HR functions.
  • Strong organizational skills with attention to detail.
  • High proficiency in Service AutoPilot, Asset Tiger, Office 365, Google Suite, and related tools.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently, meet deadlines, and manage multiple tasks simultaneously.
  • Demonstrated ability to thrive in a collaborative, solution-oriented environment.
