QuickBooks Payroll Familiarity: 6 months to 2 years of experience using QuickBooks to process U.S. payroll, particularly for small business or S-Corp clients. Understanding of Federal Payroll Forms: Knowledge of IRS requirements for quarterly filings including 941, 940, W-2s, and W-3s; familiarity with payroll deposit scheduling. Manual Process Comfort: Comfortable with non-automated, manual payroll processes that follow fixed, pre-determined structures and reporting cycles. Strong Attention to Detail: Ability to accurately follow instructions and spot inconsistencies across multiple payroll accounts and tasks. Reliable & Self-Directed: Capable of managing a consistent daily task load under the direction of U.S. staff without the need for extensive oversight. Accounting or Tax Support Background: Prior experience supporting tax preparation or bookkeeping functions for U.S. firms is preferred.

Core responsibilities:

Quarterly Officer Payroll Processing: Manually process quarterly payroll for S-Corp clients using QuickBooks, based on pre-determined annual wages and fixed FIT withholding schedules. Federal Payroll Tax Compliance: Accurately prepare and process quarterly payroll tax deposits and federal forms including 941, 940, W-2, and W-3. Task Execution & Prioritization: Complete daily task lists assigned by in-house staff, ensuring timely execution of each Officer Payroll-related assignment across multiple client accounts. QuickBooks Data Entry: Enter and update officer payroll records in QuickBooks Desktop and/or Online with precision and consistency. Cross-Team Coordination: Collaborate with U.S.-based staff who manage client communication; execute backend tasks as directed with minimal client-facing responsibility. Recordkeeping & Documentation: Maintain organized records of payroll filings, deposits, and completed work to ensure audit readiness and internal compliance.
