Job description

Client Intake
  • Act as the first point of contact for potential new clients, providing a warm and professional welcome.
  • Handle inquiries from potential clients via phone, email, website referrals, or other referral channels.
  • Contact potential clients to guide them through completing the intake form and scheduling consultations.
  • Provide basic information about the firm’s services and assist with any initial questions.
  • Follow up with clients to collect and record accurate information and documents in Lawmatics, including personal details and case specifics.
  • Maintain regular communication with clients throughout the intake process, providing updates and addressing concerns.
  • Check in potential clients for phone or Zoom video consultations.
  • Ensure the firm’s calendar is accurate and reflects rescheduled or canceled consultations.
  • Prepare and send client retainer agreements using Word, Dropbox, and DocuSign.
  • After consultations with the Managing Attorney, guide clients through signing the retainer agreement.
  • Follow up via phone, email, or text to confirm receipt of the retainer agreement and address any questions until the agreement is signed or declined.
  • Coordinate with various departments to ensure a seamless transition from intake to active case management.
Phone Reception
  • Serve as the primary contact for all incoming calls, unless directed to another extension.
Correspondence
  • Draft and respond to emails, letters, and notices.
  • Communicate with the reception office, vendors, and consultants.
Reporting
  • Prepare and present monthly reports, including the Potential New Client (PNC) and Rize Review reports.
Manage Client Reviews
  • Oversee client reviews on platforms such as Rize App, Yelp, Google, AVVO, and LinkedIn.
Administrative Support
  • Provide general administrative assistance to support the client services team as needed.
