Job Description

As an Administrative Assistant in this fast-paced environment, you’ll be the backbone of our client’s daily operations. You’ll manage crucial financial processes, maintain customer relationships, and support various administrative functions across multiple business lines. This role offers a unique opportunity to gain diverse experience in transportation logistics and real estate, while honing your skills in data management, invoice processing, and customer service. You’ll work with cutting-edge industry software and play a vital role in keeping the business running smoothly.

Responsibilities
  • Process and create invoices for transportation services, including document handling and formatting
  • Convert trip logs and hourly reports into customer invoices, ensuring accuracy and timeliness
  • Manage and update CRM systems with new contact information to maintain strong client relationships
  • Create and organize documents across multiple platforms, maintaining meticulous data logs
  • Respond promptly to email inquiries, including providing GPS location information for fleet management
  • Assist in onboarding new truck drivers and employees, ensuring a smooth integration process
  • Provide occasional weekend coverage for emergencies, demonstrating flexibility and commitment
  • Perform critical data entry tasks to support informed decision-making processes
  • Navigate and utilize various web applications essential to the transportation and real estate industries


Requirements
  • Proficient computer skills with emphasis on efficient folder and file management
  • Experience with industry-specific software such as TMS systems, and general applications like Dropbox and Excel
  • Strong attention to detail and ability to handle confidential information with discretion
  • Excellent written and verbal communication skills in English
  • Proven ability to work independently and juggle multiple tasks efficiently
  • Familiarity with both Mac and Windows operating systems
  • Adaptability to learn new software applications quickly
  • Strong problem-solving skills and ability to work under pressure
  • Enthusiasm for working in a dynamic, multi-industry environment
