Job description

This is a remote position.

**Work Schedule:** Monday-Friday, 8:00 am - 5:00 pm Virginia Time with 1-hour unpaid break


**Job Description:**
We are seeking a highly motivated Executive Assistant who excels in organization, planning, and delivering top-notch assistance. As the Executive Assistant, you will be responsible for scheduling jobs, providing exemplary customer service, managing communications, and maintaining impeccable organization. This role is ideal for individuals passionate about handling the administrative aspects of a business and directly contributing to its success.

**Responsibilities:**
- Efficiently manage email, calendar, and task assignments
- Schedule dispatches for technicians with precision and timeliness
- Provide exceptional customer service and support via phone and email
- Submit authorizations promptly via phone and online platforms
- Update and maintain CRM and dispatch software accurately
- Schedule appointments and provide 24-hour call reminders for client appointments
- Provide courtesy calls to customers when technicians are running behind schedule
- Generate and send quotes to customers promptly
- Assist in scheduling social media posts and blogging activities
- Create and update Standard Operating Procedures (SOPs) when required
- Perform miscellaneous administrative tasks as needed


Requirements

- Minimum of 3 years of experience as an Executive Assistant or similar role
- Excellent organizational skills with meticulous attention to detail
- Strong written and verbal communication abilities
- Comfortable with computers, software, and applications
- Detail-oriented and proactive with a self-motivated work ethic
- Experience working with CRMs and proficiency in call handling
- Ability to communicate proficiently with all levels of management
- Prior customer service experience is essential
- Ability to adapt and thrive in a fast-paced environment
- Experience with email marketing platforms such as MailChimp is preferred
