Raintree Systems is seeking a highly organized and detail-oriented Recruitment Coordinator to play a vital role in our talent acquisition process. In this position, you will be the backbone of our recruiting team, primarily responsible for helping us ensure a best in class candidate experience across multiple touch points. This includes being a highly effective communicator, managing candidate relations, the scheduling of interviews and maintaining the integrity of our Applicant Tracking System (ATS). Your exceptional administrative skills and proactive approach will ensure a smooth and efficient experience for all involved.
Duties and Responsibilities:
- Candidate Experience Champion:
- Serve as a primary point of contact for candidates, providing timely and professional communication throughout the interview process.
- Ensure a positive and welcoming experience for all candidates.
- Address candidate inquiries and concerns with efficiency and empathy.
- Recruiting Team Support:
- Support recruiters and hiring managers with administrative tasks related to recruitment.
- Help onboard new users to the ATS and provide system support as needed.
- Support new hire onboarding processes as needed.
- Participate in team meetings and contribute to process improvement initiatives.
- Assist in coordinating recruiting events, career fairs, or information sessions, as needed.
- Interview Scheduling Extraordinaire:
- Coordinate and schedule a high volume of interviews, including virtual interviews, and/or on-site meetings across multiple time zones and with various interview panel members.
- Manage complex calendar logistics, resolve scheduling conflicts, and proactively communicate schedule updates to candidates and interviewers.
- Prepare and send interview confirmations, calendar invites, and necessary pre-interview materials.
- ATS Administration Guru:
- Maintain the accuracy and integrity of our Applicant Tracking System.
- Ensure timely and accurate data entry of candidate information, interview notes, and application statuses.
- Generate reports from the ATS to support the recruiting team's needs.
- Proactively support more efficient and effective ways to utilize our ATS and adjacent technologies.
- Take the lead on troubleshooting ATS-related issues and escalate as necessary.
- Assist with the configuration and optimization of the ATS workflows.
Position Proficiencies and Requirements:
- Bachelors Degree in Business Administration/HR Management/Communications or related field.
- 1-3 + years of experience as a recruiting coordinator, administrative assistant, or similar role.
- Proven experience managing complex scheduling and calendars.
- Proficiency with Applicant Tracking Systems (JazzHR, Greenhouse, Lever or similar).
- Excellent organizational skills and meticulous attention to detail.
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Proficiency in Google Workspace and Zoom Video a plus.
