Overview & Responsibilities
PURPOSE OF THE JOB:
Under the direction of the Supervisor - Service Representatives, and in close cooperation with the Field Service Resources Manager, Regional Service Managers, Project Engineers and Americas Technical Service Engineers, provides dedicated support to the Field Service Organization and our customers.
This includes field service assignment tracking, manpower and resource scheduling and organizing job specific HSE and technical training and travel arrangements.
The major goals are to enable the field service operation to meet the market requirements and to ensure operational continuity at all times.
Areas that require main attention are:
Compliance with HSE and Quality requirements – internal and external
Resources scheduling and planning - personnel and tooling
Travel arrangements
Work permits
Communication with field personnel
BACKGROUND AND EXPERIENCE:
Business education with several years of working experience in related fields is required.
Good command of English language, both written and oral.
Ability and skills to organize coordinate and schedule multiple projects, assignments and tasks simultaneously
Good working knowledge of Microsoft Word, Excel, and Lotus Notes
NATURE OF THE JOB:
Administering daily support to the activities of Field Service operation.
Organizes or delegates travel arrangements including hotel, rental car and visa, work permits, where required.
Updates data files, skills registers, personnel data base, and controlled documents.
Monitoring and updating of job planning schedule including tracking of tools.
Required to work outside the normal office hours or weekends (home base or office) due to changing service demands. Availability via mobile phone outside office hours (24/7) is a must
Must know the skills and capability of the service representatives and machinery specialists being assigned.
SPECIFIC JOB RESPONSIBILITIES/COMPETENCIES:
Ensures all work is performed in a safe manner to prevent injury to personnel or equipment.
Responsible for the administrative support and scheduling of Field Service jobs in Americas.
In liaison with the Service Managers, assigns schedules and coordinates Field Service personnel for call out work, both internal and external, so that they are properly utilized.
Organizes and coordinates support activities for the Field Service department including organizing travel, work permits, training of field personnel, and HS&E matters.
Maintains and updates Field Service master schedule throughout the week.
Obtains advance information for future scheduling requirements and incorporates into master schedule.
Provides visibility into project resource scheduling to promote cross region utilization. Includes soft resource allocation for firm bid high probability projects.
Coordinates occasional hiring of contract labor and contract services.
Performs general office work including heavy telephone answering service.
Conducts weekly call in briefings with Field Personnel to determine and communicate job status and any required Elliott action items. Includes determining if there are any HSE or quality issues that could potentially affect customer satisfaction that need to be communicated with Field Service Management
Works with management, sales and accounting to continually improve forecasting
Performs self-assessment of all work to establish improvements relating to the product, process, or quality system.
Provides solution or action to prevent the occurrence of any nonconformity relating to the product, process, and the quality system keeping supervisor advised.
Performs other functions and tasks as directed by Americas Field Service Operations management.
