Description

We are hiring an Administrative Assistant who provides clerical and administrative support to the Home Office, including executive staff. If you enjoy partnering with people and are excited about the opportunity to make a difference every day, then this might be for you!  
What You Will Do: 
  • Collects, opens, sorts, and distributes Home Office mail; picks up mail from SSF. Creates FedEx labels. 
  • Administers the Collateral & Swag Portal maintaining current employee access, ensures swag and collateral is appropriately designated by department and business line. 
  • Supports Home Office new hires by managing tickets for phone, computer, and network access. Schedules internal meetings for orientation, introductions, and job training. 
  • Adds new hires to email distribution lists, based on job function and professional level. 
  • Serves as the primary contact vendors servicing the home office, including water, office supply, phone, and postage services.  
  • Acts as point person for maintenance and housekeeping work order requests at the home office. Manages the Home Office maintenance needs and coordinates repairs with SSF maintenance staff.  
  • Maintains, orders, and organizes Home Office kitchen and office supplies. 
  • Manages the organization-wide event calendar on the company intranet. Maintains and updates organizational charts (Visio and/or Lucid Software). 
  • Creates ID badges for Sequoia Living, Community Services, and HUD staff.
  • Scans paper files and organizes electronic files. Manages digitalization project (converting paper to electronic files. 
  • Assists with scheduling meetings, room reservations, catering, and other logistics for Home Office staff. 
  • Organizes ad hoc projects assigned by Home Office Support Staff, such as creating labels, tent cards and other meeting/event tasks.   
  • Provides daily administrative support to assigned VPs, such as expense reports, mail delivery, invoice processing, meeting support, document/spreadsheet revisions, printing projects, etc.

  • Proficient with Microsoft Office suite of products (Word, Excel, Outlook, PowerPoint) and the ability to quickly learn any applicable software applications. Ability to compose, format and edit business documents. Working knowledge of general office hardware. 
  • Ability to work independently and take initiative. Ability to solve problems to assess needs and determine appropriate course of action.   • Minimum High school graduate or equivalent, Bachelor’s degree in Business Administration or related field of study is preferred. Minimum of two (2) years of administrative experience.
