Position Overview
We are seeking a highly organized and proactive Administrative Assistant to support daily operations, executive functions, and team coordination. This role requires strong multitasking abilities, attention to detail, and excellent communication skills. The ideal candidate thrives in fast-paced environments, manages competing priorities effectively, and ensures seamless administrative processes.
Key Responsibilities
Manage calendars, schedule meetings, and coordinate travel arrangements.
Handle email inboxes, draft correspondence, and facilitate professional communication.
Set up and process eSignature documents, ensuring completion and accuracy.
Maintain organized records, databases, and document management systems.
Assist with expense tracking, invoicing, and basic financial reporting.
Support process improvement efforts to enhance efficiency.
Assist in coordinating between teams or departments to ensure smooth workflow.
Organize team events, off-sites, and special projects as needed.
Research and compile data for reports, presentations, or operational decisions.
Act as a liaison between executives, teams, and external stakeholders.
Maintain professional, clear, and timely communication across multiple channels.
Ensure follow-ups are completed on time and key tasks are addressed.
Qualifications
Previous experience in administrative support or operations.
Strong organizational and time-management skills.
Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive) and Microsoft Office (Word, Excel, Outlook).
Excellent verbal and written English communication skills.
Ability to prioritize tasks, take initiative, and work independently.
Strong attention to detail, problem-solving skills, and adaptability.
Nice to Haves
Experience with project management tools (Asana, Trello, Monday.com).
Knowledge of basic financial tracking, invoicing, or budget management (QuickBooks, Xero).
Background in customer service, real estate, finance, tech, legal, or healthcare industries.
Experience in remote work environments and collaborating across multiple time zones.
