Position Overview
Commonwealth Corporation is looking for a self-driven, focused problem solver who is eager to support innovation across our company. You will be working closely with our Program Operations Department and other staff throughout the organization to conduct various projects to create, improve and maintain systems, processes and tools that contribute to overall efficiency and effectiveness. Engaging in both small and large projects, you will help identify operational challenges and solutions to help improve the performance of day-to-day operations.
To be successful as an Intern, you should be on the lookout for areas where your expertise could help improve while also being willing to help with any tasks assigned by a supervisor. You will be involved in upcoming projects as well as assisting with current projects and operations. This internship is an excellent opportunity to experience various aspects of Program Operations while working for a well-known community-based and values driven organization.
About the Program Operations Team
Program Operations is the support hub connecting programmatic teams and their external partners with our internal operations teams and systems (primarily, the Finance/Contracting department but also our Legal, Administration, Marketing, HR and Data departments).
The Program Operations team is primarily responsible for creating, managing and processing Fiscal Status Reports monthly. But we are also key contributors to defining policies and procedures; creating training materials; problem solving and troubleshooting with both internal and external stakeholders as well as assisting programmatic departments, and their external partners in communicating effectively with internal operations-oriented departments. From contracting to closeout we play a crucial role in each step of the lifecycle of a grantee.
Intern Responsibilities
The Program Operations Intern will be relied upon to bring their expertise and perspective to our current state of processes, systems and tools with an eye towards improving efficiency and effectiveness for all.
The Program Operations Team works on a monthly planning cycle, so we anticipate the Program Operations Intern completing at least 3 smaller projects and 1 larger project.
Some examples of Past projects include:
Developing an organization-wide operations calendar to assist with strategic planning, communication and visibility across departments
Creating consistent budgeting templates across the organization
Compiling basic data across the organization into a single document for easy reference
There is also the expectation that the intern will assist with performing general and daily administrative duties and assisting the Program Operations Team with any other Program Operations related tasks as needed including follow ups.
There will be ample opportunity to collaborate with Operations Team members and other departments on new ideas for Program Operations related improvements.
Research innovative systems to simplify workflow and facilitate daily processes utilizing current or new software and tools
Basic Requirements
Must be a Massachusetts resident and living in Massachusetts during the internship period.
A college student or recent graduate- enrollment in an undergraduate course for Program Operations, or similar field.
This internship program is also open to individuals in career transitions and/or exploring career opportunities.
A keen eye for identifying challenges and a creative approach to developing solutions.
Embraces structure and organization as a means for structuring work.
Strong operational and project management sensibilities.
Eager to learn and work with various departments in the company.
Excellent verbal and written communication skills.
Has the ability to take initiative, can balance working independently with being part of a collaborative team
Ability to prioritize projects’ and meet deadlines
Comfortable with new technologies
Experience working in team settings and environments
Has excellent attention to detail.
Has a growth mindset when learning new concepts and platforms
Receptive to give and provide to feedback on Program Operations processes
Preferred Skills
Salesforce or similar CRM platform
NetSuite, Accufund or similar financial software
Strong abilities with Microsoft Platforms especially Excel, Outlooks, Teams and Sharepoint
Familiarity with Lean Principles, Continuous Improvement, Six Sigma or other comparable improvement-based strategies
Comfort working with Project Management Software (ClickUp, Smartsheet, AirTable, etc.)
Preferred college majors: Business, Finance, Operations, Technology, Data Analysis, Human Resources
