About the Role
We are looking for a highly motivated and experienced Executive Assistant to provide comprehensive support to senior leadership and contribute to the smooth operation of our business. This is a dynamic and multifaceted role that requires a proactive individual with exceptional organizational, communication, and problem-solving skills. We need someone who thrives in a fast-paced environment, takes initiative, and can manage multiple responsibilities efficiently. As a key member of our team, you will play a direct role in our success by assisting with a wide range of tasks, including but not limited to the following:
What you’ll do
Executive Support:
Manage complex calendars for two C-suite executives, including personal, professional, and travel arrangements.
Handle email management, prioritizing and responding to correspondence, and logging important information.
Prepare reports, presentations, and other documents as needed.
Perform various internal and external tasks as assigned, including errands and special projects.
Operations & Workflow Management:
Oversee and optimize workflows, identifying areas for improvement and implementing solutions.
Utilize project management systems (e.g., Trello, Asana, ClickUp, Monday.com, HubSpot, Jira) to track progress, manage tasks, and ensure deadlines are met.
Intake, organize, and manage large volumes of documents, ensuring accurate data entry and efficient retrieval.
Input client communication and other critical data into the workflow system.
Assist in the development and documentation of Standard Operating Procedures (SOPs).
Client Relations:
Provide exceptional customer service to attorney clients, handling inquiries and resolving issues with professionalism and empathy.
Effectively communicate with clients via phone and email, ensuring clear and concise messaging.
Comfortably interact with demanding clients, maintaining composure and delivering solutions.
Research & Reporting:
Conduct research on various topics as needed, providing accurate and insightful information.
Analyze data and generate reports on key metrics, including lost clients, idle clients, revenue generation, and client segmentation (P1, P2, P3).
Examine existing systems and processes to identify areas for improvement and recommend solutions.
