The executive assistant is a critical force in driving efficiency and organization at the highest level of the company. By ensuring smooth operations and optimizing workflows, this role helps create an environment where leadership can focus on growth and innovation.

ROLE RESPONSIBILITIES
EMAIL & COMMUNICATION MANAGEMENT
- Manage the CEO’s inbox, filter emails, and ensure priority messages are addressed promptly.
- Draft and prepare email responses, with a focus on efficiency and accuracy.
- Implement an organized email management system to maintain inbox clarity.
- Act as the first point of contact for inbound inquiries, responding or delegating as necessary.
CALENDAR & SCHEDULING MANAGEMENT
- Take full ownership of the CEO’s schedule, acting as the gatekeeper for meeting requests.
- Coordinate and prioritize meetings, ensuring optimal time management.
- Schedule travel arrangements, including flights, accommodations, and itineraries.
- Anticipate scheduling conflicts and proactively resolve them.
ADMINISTRATIVE & OPERATIONAL SUPPORT
- Organize and maintain digital records, documents, and company files.
- Assist with internal projects, process improvements, and operational initiatives.
- Research and compile information to support decision-making.
- Manage and update contact databases and business records.
- Help coordinate team events, off-site meetings, and business functions as needed.
PERSONAL TASK COORDINATION
- Assist in planning and coordinating personal travel, reservations, and itineraries.
- Manage personal appointments, reminders, and scheduling as needed.
- Oversee the execution of personal errands that can be handled remotely, such as online purchases, subscriptions, and gift arrangements.
PROCESS CREATION & DOCUMENTATION
- Develop and maintain standard operating procedures (SOPs) for executive assistance tasks.
- Continuously refine processes to improve efficiency in email management, scheduling, and administrative workflows.
- Work closely with the CEO to identify areas for improvement and implement best practices.

ROLE QUALIFICATIONS
REQUIRED QUALIFICATIONS
- Prior experience as an executive assistant, personal assistant, or senior administrative assistant.
- Strong organizational and time-management skills, with the ability to handle multiple tasks.
- Excellent written and verbal communication abilities.
- Strong understanding of executive-level discretion and confidentiality.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams).
- Experience using CRM systems (e.g., Salesforce, HubSpot, or similar).
- Proficiency in software tools relevant to executive assistants (e.g., scheduling software, task management platforms, document collaboration tools) and ability to learn new software quickly.
- Ability to work independently, take initiative, and problem-solve effectively.
- Must own a computer with a high-quality webcam and microphone (relevant software and subscriptions provided).
- Excellent English verbal and written language proficiency (C1-C2 in CEFR Scale).
- Access to a quiet and presentable work area at home with reliable internet (50 Mbps or more).
PREFERRED ("NICE-TO-HAVE") QUALIFICATIONS
- Experience reporting directly to a CEO or senior executive.
- Background in construction, home services, or related industries.
- Experience managing high-level projects or strategic initiatives.
- Familiarity with business operations, finance, or company-wide processes.
ROLE SPECIFICATIONS

Base Salary: Q9,000.00 base salary.

RECRUITING PROCESS

Application / Screening: When you apply for this position, we will ask you a short questionnaire to get to know you a little bit better and ask you for some additional inputs to see if you qualify for the position. In addition, we will ask you to complete a short psychometric evaluation and a short English proficiency assessment. The idea is to explore if this is a good fit before moving forward.

Skills Assessment: You will be asked to complete a few exercises and/or projects designed to recreate the work tasks that you will be responsible for if you are given the role. This helps us gauge your skill level as well as give you a better idea of the required work.

Skills Assessment Interview: This is a 60 min - 90 min conversation where we further test your skills, learn about your previous working experiences, and evaluate culture fit to the role and company.

Hiring Manager Final Interview: This is a 30 min - 60 min conversation with the position’s Hiring Manager (and potentially a few company team members) to get to know you better and to set the expectations and vision for the role.
The entire process usually takes anywhere between 2-4 weeks to complete depending on the seniority of the position.
