Job description

If you’re highly organized, with a penchant for publications, we may have the role you’ve been looking for! We are seeking a detail-oriented publication coordinator to manage publication planning tools, track milestones, and facilitate communication between internal teams, clients, and external stakeholders.


The role

This role will oversee the publication database activities for our US-based clients and work collaboratively with external stakeholders and our internal teams to facilitate these projects. As the publication coordinator you’ll use your organizational and communication skills to ensure the smooth submission and approval of abstracts, posters, and other publication materials.

You can work remotely from anywhere in the USA but this role would be best suited to someone on the West coast to accommodate our clients based there.


Key responsibilities

  • Set up and maintain records per client guidelines, facilitate reviews and approvals through the system, track author and reviewer responses, monitor publication milestones, deadlines, and deliverables
  • Coordinate with internal teams, particularly the commercial account managers and editing lead to ensure streamlined and efficient ways of working
  • Communicate with client reviewers and publication authors to facilitate formal reviews and with external stakeholders, such as conference organizers, to facilitate submission processes
  • Ensure alignment with the commercial account managers on project management activities relating to the publication planning tool, including timelines and client status
  • Support the submission process for abstracts and posters to conferences, ensuring all materials are submitted by deadlines and in the correct format


What you’ll need

  • Bachelor’s degree or equivalent work experience in communications, marketing, life sciences, or a related field
  • Strong organizational skills, with the ability to manage multiple tasks and deadlines
  • Excellent attention to detail and accuracy when tracking publication activities and maintaining records
  • Strong written and verbal communication skills, including experience in client-facing communication
  • Ability to work in a structured, methodical way in a team environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Willingness to learn new tools to manage publication planning activities effectively
