Job Title: Personal Assistant & Resourcer to the CEO
Location: Cape Town, South Africa, Work from home
Employment Type: Full-time

Salary: Up to R20 000 to R25,000 per month

Job Overview:

We are seeking a highly organized, tech-savvy, and energetic Personal Assistant (PA) & Resourcer to support the CEO of The Legends Agency. This role is a blend of executive support and talent acquisition, requiring a proactive individual who thrives in a fast-paced environment, can multitask effectively, and possesses excellent communication and organizational skills. The successful candidate will be instrumental in managing the CEOs daily operations, recruitment processes, client relations, and business coordination.

Key Responsibilities:

Executive Support:

  • Manage the CEOs daily schedule, appointments, meetings, and travel arrangements.
  • Handle email management, correspondence, and client communication.
  • Prepare reports, presentations, and quotes for clients and internal meetings.
  • Assist in managing LinkedIn and social media accounts.
  • Organize client lunches, business travel, and office administration.
  • Maintain confidential files and records, ensuring data integrity and discretion.

Talent Acquisition & Resourcing:

  • Source and identify top talent through job boards, LinkedIn, and networking.
  • Conduct initial screening calls and interviews with candidates.
  • Schedule candidate interviews with the CEO and clients.
  • Manage the Applicant Tracking System (Manatal) and Close CRM.
  • Perform reference checks and facilitate criminal verification processes.
  • Build and maintain a talent pipeline for ongoing recruitment needs.
  • Support bulk recruitment initiatives and high-volume hiring projects.

Business Operations & Client Engagement:

  • Act as the primary liaison between the CEO, clients, candidates, and stakeholders.
  • Assist in drafting contracts, agreements, and legal documentation.
  • Ensure seamless coordination between HR, finance, and operations teams.
  • Handle complex deals, creative quotes, and strategic business initiatives.
  • Oversee office IT support, procurement, and administrative tasks.

Key Requirements:

Qualifications & Experience:

  • Diploma or Degree in Business Administration, Human Resources, or related field (preferred but not mandatory).
  • Minimum of 5 years experience as a PA/Executive Assistant, preferably in recruitment or EOR services.
  • At least 2-3 years experience in talent acquisition, recruitment, or resourcing.
  • Strong understanding of LinkedIn Recruiter, job boards, ATS systems, and Boolean searches.

Skills & Competencies:

  • Above-average IT literacy and strong Microsoft Office skills.
  • Excellent spelling, grammar, and written communication.
  • Highly organized, methodical, and detail-oriented.
  • Ability to multitask and work efficiently under pressure.
  • Strong problem-solving and strategic thinking abilities.
  • Ability to work at a fast pace and adapt to changing priorities.
  • High level of professionalism, discretion, and integrity.
  • Confident, well-spoken, and able to command respect.
  • Comfortable with handling confidential and sensitive information.

Additional Considerations:

  • Must reside in Cape Town and be able to work in-office at least one day per week.
  • Must have a positive, can-do attitude, and be able to grasp complex tasks quickly.
  • Track record of ambition and career progression, with the potential to grow into a SA 360 Recruiter.
  • Experience in bulk recruitment and high-volume hiring is advantageous.
  • Must be able to represent the CEO professionally and uphold company standards.
  • Candidates from the recruitment industry are preferred, but training will be provided for the right individual.
