Job Overview
We are seeking an Administrative Coordinator to support back-office operations for a property management firm. This role involves frequent professional phone communication with vendors, data management in Excel, and negotiation tasks. You will work independently to handle property management workflows and provide critical administrative support. Strong English communication skills, negotiation expertise, and advanced data handling skills are essential to thrive in this role.

Key Responsibilities:

  1. Vendor Coordination and Negotiation
    • Communicate professionally with vendors over the phone, ensuring effective collaboration and timely resolution of issues.
    • Negotiate contracts, pricing, and services to secure optimal terms for the business.
    • Track vendor performance and follow up to ensure timely completion of tasks and services.
  2. Data Management and Reporting
    • Utilize advanced Microsoft Excel skills to create, update, and analyze spreadsheets for tracking and reporting purposes.
    • Ensure data accuracy and provide actionable insights to stakeholders.
    • Organize and maintain data records to support efficient task execution.
  3. Administrative and Task Management
    • Independently manage multiple administrative tasks, prioritizing deadlines effectively.
    • Provide regular progress updates and reports to management.
    • Support the implementation of property management workflows by ensuring all administrative tasks are handled promptly and accurately.
Qualifications:
  • Minimum of 2 years in administrative support, vendor coordination, or property management-related roles.
  • Exceptional written and verbal English communication skills, with experience handling professional phone interactions.
  • Proven ability to negotiate effectively with vendors, contractors, or service providers.
  • Advanced skills in Microsoft Excel, including the use of formulas, pivot tables, and data visualization tools.
  • Familiarity with property management workflows or related administrative tasks is highly preferred.
  • Self-motivated and capable of managing tasks with minimal supervision.
What You'll Need:
  • Equipment Requirements:
    • A computer with an Intel 8th Gen Core i5 or above, AMD Ryzen 5 or higher, or Mac M1 or above, with at least 8 GB of RAM and 256 GB SSD.
    • Reliable internet connection (minimum 50 Mbps).
    • Headset for clear, hands-free communication.
  • Preferred Additional Skills: Experience working remotely with U.S.-based teams and familiarity with other property management or CRM tools.
