Position Summary:

As a Virtual Assistant, you will play a crucial role in supporting various aspects of our organization, including administrative tasks, graphics creation, and financial management. Your attention to detail, organizational skills, and ability to multitask will be essential in ensuring smooth operations and project success.

Virtual Assistant

Work from Home

Monday to Friday | 9 AM to 6 PM CEST | 3 PM to 12 AM (Manila Time)

*Following PH Holidays

Responsibilities:

  • Administrative Support:
    • Maintain project documentation and records.
    • Schedule meetings, manage calendars, and coordinate appointments.
    • Prepare presentations and reports as needed.
    • Offering administrative support with a focus on training and continuous learning
    • Providing assistance to both clients and the organization, including tasks such as invoice verification and tracking hours spent.
  • Graphics Creation:
    • Develop basic visuals such as presentations, reports, infographics, or social media graphics using design software.
    • Ensure the clarity, accuracy, and visual appeal of all creative materials related to projects.
    • Creating visual representations to enhance data comprehension and presentation.
    • Developing comprehensive dashboards for professional data analysis and reporting purposes.
  • Financial Management:
    • Create and issue invoices to clients accurately and in a timely manner.
    • Manage accounts receivable, track outstanding payments, and send overdue notices.
    • Reconcile bank statements and maintain accurate financial records relevant to projects.

Qualifications:

  • Proven track record in administrative support or related roles.
  • Bachelor's degree in Business Administration or related field (may be required), coupled with relevant experience.
  • Exceptional organizational skills with meticulous attention to detail.
  • Ability to juggle multiple tasks, prioritize effectively, and meet deadlines.
  • Excellent written and verbal communication skills to collaborate effectively with team members.
  • Proficiency in Microsoft Office applications and familiarity with graphic design software is a plus.
  • Project Management experience is an advantage.
