About This Job

The Event & Marketing Specialist will be responsible for working collaboratively with colleagues in the marketing and sales organization to plan and execute tradeshows and corporate events in the US and Canada.

Reporting to the Director of Conferences & Events, we are seeking an Event & Marketing Specialist to play a vital role in the success of the conferences, events, and sponsorships throughout the year to support marketing and sales goals. The position will assist with all the logistics that go into planning corporate conferences and hosting in-person events, will collaborate with internal teams to support team meetings, and internal initiatives as needed. The role also needs a balanced knowledge of both event management and general marketing campaign principles, as this position will also support event marketing campaign strategies across email, social and web. This person must be detail-oriented, a clear communicator, creative thinker, and possess excellent project management skills to assist with planning multiple events simultaneously.

Core Duties By Competency

Knows the Business

  • Coordinate show schedules, task lists, and deadlines for each tradeshow, and track in project management tool, Monday.com.
  • Perform research of vendors, venues, and restaurants for event options.
  • Acquire event attendee lists to verify information, organize in spreadsheets, share with team, and upload and prepare for sales and marketing efforts in Hubspot.
  • Assist with database cleanup and maintenance as needed to support outreach by sales and BDRs.
  • Compile event details, manage content, and create images for posting on corporate website and social media platforms.

Leads Other

  • Strong written and verbal communication skills to communicate professionally and effectively with internal staff, peers, and outside vendors.
  • Support the Marketing department with invoice submissions, check requests, and expenditure tracking of tradeshows.
  • Assist with event promotion, marketing efforts, and outbound emails to market sponsorships and book meetings at events.
  • Follow up with sales representatives who have attended events to ensure all event leads and opportunities are shared with marketing and entered into Hubspot.

Accountable

  • Maintain adequate inventory of tradeshow supplies, marketing materials, and branded swag giveaways.
  • Coordinate the packing and shipping of exhibit materials to shows.
  • Create presentations and planning materials for event preparations or post-event recap calls with internal teams.
  • Ability to work independently with a strong work ethic.
  • Positive attitude and eagerness to learn and grow.
  • Prioritization, time management, and follow-up skills are essential, with demonstrated ability to meet deadlines.

Team Player

  • Coordinate requests and timing for marketing material updates and show-related signage/images.
  • Ability to thrive in a fast-paced environment of teamwork and constant change.
  • Perform related event support tasks and other projects as requested.

Minimum Requirements

  • At least three years of experience working in corporate events or tradeshows, plus at least two years of experience in marketing.
  • Strong knowledge of PC tools, including MS Office applications to manage spreadsheets, create reports, and build PPT decks.
  • Experience working with marketing CRM systems, like Hubspot, and project management software, such as Monday.com, are desired.

Working Conditions

  • Work from home.
  • Ability to travel up to 10% of the time to conferences and events across the country.
  • Minimum internet speed of 6 mbps download and 3 mbps upload; Directly connected into modem; No satellite.
