Marie Zimenoff is the CEO of Career Thought Leaders and Resume Writing Academy, providing training and community support for resume writers and career coaches. Marie’s company is dedicated to empowering professionals through knowledge, fostering collaboration, and driving innovation in the career services industry.

We are looking for a Virtual Assistant who aligns with our core values and can step into an integral role. The ideal candidate will be proactive, with meticulous attention to detail and a commitment to accuracy, supporting our mission by taking on key operational responsibilities.

This position requires a strategic problem-solver with a project manager mindset who excels at multitasking, values quality, embraces learning, and thrives in a flexible, fast-paced environment. In this role, you will play a key part in maintaining operational excellence, building structures, and fostering collaboration within the team.

Some of your responsibilities will include:

  • Managing email communication and responses
  • Overseeing calendar scheduling and coordination
  • Assisting with project management tasks
  • Supporting course management, including customer support and student communication
  • Creating and proofing workflows
  • Organizing and maintaining a content library
  • Data entry and assisting with website updates
  • Coordinating with team members and board prospects
  • Collecting data to support outreach activities
  • Managing contractors or interns, as needed
  • Documenting tasks and processes

In addition to the above, the ideal candidate must be/have:

  • Outstanding writing skills, both verbal and written
  • Highly organized and thorough in completing tasks
  • Proactive, takes initiative, and delivers quality work
  • Tech-savvy and quick to learn new tools and software
  • Comfortable experimenting with new technology before asking for help
  • Capable of standing up for their ideas and working independently
  • Consistently reliable and dependable, ensuring no tasks slip through the cracks
  • Proficient in organizing and managing content workflows to ensure consistent distribution
  • Adept at managing high volumes of email and streamlining communication
  • Skilled at setting up systems, organizing workflows, and creating efficiencies
  • Interested in the career services industry

Experience with the following tools is a plus:

  • Google Workspace

  • Gmail, Calendar

  • Asana

Position Details:

  • This is a remote 1099 contractor position
  • Benefits include Paid Holidays
  • The position will be 15-20 hours per week, with the potential to grow as the need arises
  • Flexible daily hours Monday through Friday, with clear communication of your schedule
  • The pay rate is $25/hour USD
  • We're looking for someone to become a long-term (3+ years) team member
