POSITION SUMMARY:

The Document Template Specialist is responsible for the creation and maintenance of Microsoft 365 templates using BigHand Create and native Word. This role ensures that templates are consistently up-to-date, accurately formatted, and compliant with firm standards. The position requires close collaboration with various departments to gather requirements and implement necessary updates, ensuring all templates and documents meet the firm’s internal guidelines. In addition to template management, the DTS provides word processing support, including tasks such as formatting Word, Excel, and PowerPoint files, handling file conversions, troubleshooting document issues, and generating detailed Excel reports using features such as pivot tables and formulas.

DUTIES AND RESPONSIBILITIES:


  • Template Creation and Management : Lead the development, updating, and maintenance of Microsoft 365 templates, with a strong emphasis on Word templates, using BigHand Create. Ensure all templates are consistently aligned with the firm’s branding and formatting.
  • Template Customization : Work closely with various departments to customize templates based on specific needs, ensuring that each template is tailored to meet the unique requirements of different offices and practice areas within the firm.
  • Template Quality Control : Regularly audit and review templates to ensure they are error-free, up-to-date, and functioning as intended. Implement continuous improvements to enhance template usability and efficiency.
  • Template Documentation : Proficiency in creating and maintaining detailed documentation for templates, including usage guidelines, best practices, troubleshooting procedures, and comprehensive records of all changes made. Maintain version histories by thoroughly documenting updates. Maintain a detailed and organized record of all folders and files, including their locations and purposes.
  • Document Processing and Conversion : Provide backup comprehensive support in word processing tasks, including document formatting, generating a table of contents and file conversions (e.g., PDFs to Word, Excel, or PowerPoint).
  • Document Troubleshooting : Resolve issues with damaged or malfunctioning documents, ensuring that all files are functional and error-free.
  • Training and Support : Offer training and ongoing support to staff on the use of templates.
  • Advanced Excel Reporting : Use advanced Excel skills like complex formulas, pivot tables, and dashboards to create accurate, well-structured reports.


BASIC QUALIFICATIONS:


  • High School or GED equivalent required. Bachelor’s degree preferred.
  • Two + years of experience as a senior or lead word processor, technology trainer, or document automation specialist with advanced knowledge in template creation and management is required.
  • This role is fully remote and must reside within a commutable distance to the local applicable office.


COMPETENCIES:


  • Proficiency with BigHand Create, native Word, or similar template creation software, and advanced knowledge of Microsoft 365 (Word, Excel, and PowerPoint).
  • Strong expertise in Microsoft Word template creation, including the use of advanced formatting and styles. Familiarity with document management systems and troubleshooting document issues.
  • Familiarity with XML for template customization.
  • Experience with file conversion processes, particularly converting PDFs to Word, Excel, or PowerPoint.
  • Ability to work independently and in a team environment; possesses a positive attitude and excellent work ethic.
  • Demonstrates flexibility with work schedule and understands the requirement to work overtime without prior notice.

SALARY

Illinois based applicants only: The target annual salary range for this role is currently $83,000 - $97,000 based on a regular, full-time schedule. The amount of compensation offered will be determined by several factors, including but not limited to experience, qualifications, market data and internal equity. To tal compensation includes a comprehensive healthcare benefits package, yearly retirement contribution, and may include an annual discretionary merit bonus.
