Marketing Traffic & Project Manager - Remote

SUMMARY:

We are a dynamic and collaborative marketing team dedicated to delivering innovative solutions for higher education institutions. As part of our ongoing commitment to efficiency and collaboration, we are adding a Marketing Traffic and Project Manager to our team to help streamline workflows and enhance cross-team communication. The Marketing Traffic and Project Manager will serve as a pivotal connector across teams, ensuring projects move seamlessly from initiation to completion. This role combines traffic management—ensuring the team’s workflows efficiently—with foundational project management, supporting the broader marketing team’s needs. The ideal candidate will be detail-oriented, highly organized, and eager to quickly make an impact.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Project Prioritization and Timeline Management

  • Assist in weekly prioritization of tasks across teams, ensuring alignment with team goals and deadlines.
  • Oversee, manage, and maintain multiple team project management boards to track tasks, shifting priorities and project timelines.
  • Proactively follow up on resolutions to keep projects on track, particularly for cross-functional initiatives involving external partners.

Cross-Team Communication and Workflow Optimization

  • Act as a liaison between marketing teams and the new university program launch team, managing priorities and facilitating smoother workflows.
  • Consolidate notifications and lead problem-solving sessions to address bottlenecks or challenges.
  • Standardize communication processes across Trello, Slack, and email to improve team efficiency.

Integrated Marketing Team Support

  • Manage and maintain production boards to ensure deadlines are met and bandwidth challenges are addressed across all teams.
  • Oversee workflow efficiency using Trello, including updates, tracking creative asset changes, and managing social media calendars.
  • Develop and manage an “alert” framework to prioritize and resolve high-priority issues (e.g., red/orange status).
  • Provide traffic-management support, balancing workloads and tracking external and ad-hoc requests.
  • Support launch-related activities with tools such as Smartsheets and task cards, ensuring timely execution.
  • Coordinate setup and implementation of new asset features and testing tools, ensuring cross-team readiness and efficiency.
  • Assist with resource allocation and facilitate decision-making processes for team leads.

Strategic Coordination

  • Lead weekly cross-team meetings to drive collaboration and maintain accountability.
  • Coordinate large-scale partner updates and other recurring, high-visibility deliverables.

EDUCATION AND EXPERIENCE an equivalent combination of education, training and experience will be considered.

  • Education: Bachelor’s degree in marketing, business, communications, advertising, or a related field. MBA or equivalent advanced degree preferred.
  • Experience: 2+ years in marketing operations, traffic management, or project management role, preferably in a creative agency.
  • Tools: Proficiency with project management tools such as Trello, Smartsheets, and Slack. Experience with workflow management in digital marketing environments is a plus.
  • Skills: Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
  • Communication: Strong written and verbal communication skills, with the ability to act as a bridge between teams.
