Description

Under the direct supervision of the Special Events Manager, the Events Specialist 1 will serve as the event coordinator, offering event support for Events Specialist 2 and Event Specialist 3 for all internal and outward facing Jacobs School events. These events are high profile in nature, support the Jacobs School's strategic goals and objectives, increase opportunities for interaction between the School and the community, and reflect the high standards of the University.

The coordinator will assist with all day-to-day operations of both in-person and virtual event planning, including menu selections, vendor procurement, contract review, RSVP management, and day-of support. Additional administrative tasks related to the events will also be part of the role, such as supporting file and document organization, creation of Zoom platforms and back-end support for virtual events.

Qualifications

  • Knowledge of concepts and principles of effective event planning and production and public relations. Including event design, organization and production.
  • Basic knowledge of the campus, its mission, vision, goals, objectives, achievements and infrastructure.
  • Organizational skills to effectively coordinate and track multiple details. Ability to work professionally under pressure and tight deadlines ensuring excellent customer service.
  • Written and interpersonal communications skills, including tact and political acumen, and skill in effectively representing the campus to its publics. Excellent written and verbal skills to effectively support team priorities. Active listening and effective collaboration skills. Thorough knowledge of the fundamentals of writing, grammar, syntax, style, and punctuation.
  • Ability to complete simple tasks with established deadlines; attention to detail. Ability to complete large volume of diverse tasks efficiently, meeting established deadlines.
  • With training, ability to use computers and computer software appropriate to work tasks. Proficiency working with computer and information management systems (e.g. Google suite, Adobe Photoshop, etc.). Knowledge of computer applications for publishing, image handling, and/or web production.
  • Demonstrated experience with purchasing, entertainment, and travel reimbursements.
  • Ability to work well as a team member, integrating functions and responsibilities with other staff members.
  • Demonstrated ability to work independently and effectively with minimal supervision, to learn quickly, exercise good judgment, take initiative, demonstrate flexibility, and maintain composure while working under pressure of frequent interruptions and changing priorities with strict deadlines.
  • Demonstrated problem-solving skills to quickly and accurately assess, define and resolve complaints, discrepancies and errors.
  • Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete large volume of diverse tasks efficiently, meeting established deadlines.

Pay Transparency Act

Annual Full Pay Range: $53,800 - $91,000 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $25.77 - $43.58

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
