Senior Executive Assistant - Sales and Marketing

Mission

As a Senior Executive Assistant, your mission is to serve as a trusted partner to executives by providing high-level administrative and strategic support. You will manage complex schedules, oversee key projects, and leverage your sales, marketing, and CRM expertise to contribute to the organization’s growth.

Responsibilities

Executive Support: Provide comprehensive support to senior executives, ensuring smooth day-to-day operations.

Calendar Management: Coordinate and manage complex schedules, meetings, and appointments, prioritizing tasks effectively.

Communication: Draft, review, and edit correspondence, reports, and presentations with clarity and professionalism.

Project Management: Oversee and track key projects, ensuring deadlines are met and objectives are achieved.

Sales, Marketing, And CRM Support

  • Assist in creating compelling sales presentations, proposals, and marketing materials that align with organizational goals.
  • Coordinate campaigns, events, and outreach initiatives to drive brand visibility and customer engagement.
  • Leverage CRM tools (e.g., Salesforce, HubSpot) to manage customer relationships, track performance, and identify new opportunities.
  • Analyze market trends, customer data, and campaign results to provide actionable insights for business growth.
  • Manage sales pipelines and reporting tools to support executives in monitoring progress and forecasting.
  • Collaborate with marketing teams to ensure seamless execution of strategies, aligning them with the executive vision.

Travel Coordination: Plan and manage domestic and international travel, including accommodations and itineraries.

Stakeholder Management: Act as a liaison between executives, internal teams, and external partners, fostering strong relationships.

Data Organization: Maintain and organize critical documents, records, and reports for easy access and confidentiality.

Problem-Solving: Identify and resolve operational challenges with efficiency and resourcefulness.

Team Collaboration: Work closely with cross-functional teams to support organizational goals and initiatives.

Qualifications

Education: A Bachelor’s degree in Business Administration, Marketing, Communications, or a related field.

Experience: At least 5 years of solid experience as an Executive Assistant, with a proven track record of working with US or AU clients.

Industry Expertise: Familiarity with e-commerce, retail, real estate, construction, or financial industries.

Sales, Marketing, And CRM Acumen

  • Experience creating sales materials, marketing content, and campaign strategies.
  • Knowledge of sales processes and customer relationship management tools (e.g., Salesforce, HubSpot).
  • Ability to analyze data and optimize strategies to improve outcomes.

Project Management Skills: Demonstrated ability to manage multiple projects with precision and meet deadlines.

Time Management Skills: Exceptional skills in calendar management and task prioritization.

Communication Skills: Outstanding written and oral communication skills, with an ability to convey information effectively.

Technical Proficiency: Advanced knowledge of MS Office Suite, project management tools (e.g., Asana, Trello), and CRM software (e.g., Salesforce, HubSpot).
