Job description

Role- Office and Hospitality Support Associate
Location- Philadelphia, PA 19103
Duration- 2 Months (Temp to hire)
Shift hours- 08:00 am- 05:00pm
Driving required- personal vehicle


Under the direction of the Enterprise Services Manager (ESM) or Area Operations Manager (AOM) this key position supports daily operations, implementations, expansions, and administration of all Managed Services Accounts within an assigned operational area with varying sizes. Undertaking all customer support tasks in external customer/client facilities The Area Customer Service Coordinator is responsible for a broad knowledge of Ricoh Service Excellence Methodology, complete knowledge of account service delivery requirements and Ricoh portfolio of offered solutions. Delivers operational support by assisting MS leadership by supplementing onsite personnel at various customer locations performing a wide range of duties requiring a versatile skill set and ability to adapt to varying industries. Additionally, they are required to support various locations for reasons that may include vacation, absences, training, implementations, etc. throughout assigned operational area. Job Duties and Responsibilities •An integral member of the service team by supporting the daily operations for all contracted services at customer accounts within a geographical area •Assists management with process improvement, procedural testing and validation and ensuring field compliance with operational best practices. •Support the Field Implementation Managers with the implementation of new customer accounts and service expansions. •Assists with onboarding new team members and cross training peers •Assists with the development of Site Procedure Guides and sharing best practices throughout geographical area. •Routinely inspects Site Procedures Guide for accuracy and compliance •Knowledgeable of all contracted services within assigned customer accounts •Performs daily visual inspection of site services and Ricoh and customer compliancy to safety. •Provide feedback on site experience via survey tool or any other forms to help improve the customer experience, internal and external. •May require “standing in” for absences or vacations of the onsite resources, that may also include site management. •Provides, executes, and supports all aspects of services, which entails traveling to and from various accounts. •Creates and maintains a customer-focused environment •Responsible for customer satisfaction by engaging end-user feedback. •Responsible for escalating customer issue to ESM/AOM and support the resolution to completion. •Communicates effectively and responds quickly to customer and end user communication •Collects data and is knowledgeable of the tools and methods used for the completion of the Monthly Operations Review as directed •Performs other duties as assigned

Looking for someone with the following types of experience: Front of House: Reception / Hospitality / Conference room & meeting support (AV minor support), Pantry support AND Office support: Mail, Production: copy, scanning, Fax, Copier/Printer Fleet support 1st response. Need to be strategic in candidate selections with extensive background in Customer service. Diving as far as 50 miles with own personal car would be a requirement. The candidate will be traveling to areas in King of Prussia, Mt Laurel, Philadelphia and more. Free parking is available.

This ACSC role is a multifunction role for a high profiled Vertical customers. Looking for someone who is CUSTOMER SERVICE all the way.

Great personality with a can-do-attitude, reliable, very friendly and courteous, fast learner that can work through Office 365 and various other applications seamlessly and has great communication skills (both written and oral).

The Front of House (FOH) Services include (but not limited to):

A. Reception Services
1. Answer calls within three rings and deal with these queries efficiently
i. Phone script for answering phones. Encourage contagious habit of smiling.
2. Ensure all visitors and colleagues are greeted when entering the reception area
3. Ensure emails are dealt with efficiently and any extra administrative support is provided
4. Maintain a high degree of confidentiality and integrity

B. Visitor Processing
1. Register all visitors with building security portal
2. Visitor names are going to be provided by colleagues or meeting organizers via email
3. Ensure visitors sign-in Visitor’s Log
4. Contact colleagues or meeting organizers to inform them their visitor(s) are in the reception area.
For internal meetings direct visitors to the scheduled conference rooms.
5. Assign visitor/guest security cards in accordance with the site procedures
a. Maintain inventory of security cards and report missing cards promptly to Facilities
Services.

C. Conference / Meeting Support
1. Meetings can range from 4 to 50 attendees and occasionally meetings can have attendees from 50 to 100 plus.
2. Supporting Conference Rooms and Team Rooms

D. Catering Support Services
1. Meeting hosts and Administrative Assistants will provide all catering requests to the Front of House team, and it is the responsibility of the Front of House team to place the orders.
2. Processing and coding of Catering invoices

Back of House/Office Support:

Copy/Print support
Copier/Printer - First responder
Mail (receive, sort & deliver)
Packages (receive & deliver)
Outbound pacakges (process and prep for pick up)

Physical requirements: Occasional lifting for Hospitality catering support, Mail & packages. Must be able to list 15-30 pounds.
