Role Summary:
We are seeking an experienced Executive Assistant to provide high-level administrative support to senior executives. The ideal candidate will be highly organized, proactive, and detail-oriented, playing a key role in optimizing the day-to-day functions of the executive team and supporting the company’s operational efficiency.

Key Responsibilities:

  • Calendar and Schedule Management: Coordinate the Managing Director’s calendar by organizing meetings, setting priorities, and ensuring all engagements are seamlessly scheduled.
  • Inbox Management: Oversee and manage the Managing Director’s inbox by organizing, prioritizing, and responding to emails as appropriate on the Managing Director’s behalf. Ensure timely follow-ups, flagging urgent messages, and streamlining email communication to improve responsiveness.
  • Communication Management: Act as the main point of contact for communications directed at the Managing Director, managing email flow, drafting responses, and prioritizing important communications.
  • Task Management: Track, prioritize, and organize tasks of the Managing Director, sending reminders, and coordinating with other team members when needed to ensure tasks are completed on time.
  • Travel Arrangements: Organize all travel arrangements, including booking flights, accommodation, and local transportation, and prepare comprehensive travel itineraries.
  • Meeting Preparation: Prepare agenda, prepare presentations, take minutes, gather necessary documents, and ensure prompt follow-up on action items from meetings attended by the Managing Director.
  • Project Assistance: Support special projects by conducting research, gathering data, preparing reports, and tracking project progress.
  • Document Management: Maintain an organized filing system for electronic documents, contracts, and records, ensuring quick and easy retrieval as needed.
  • Relationship Management: Liaise with clients, partners, and internal team members on behalf of the Managing Director, ensuring professional communication and prompt follow-up.
  • Ad Hoc Tasks: Assist the Managing Director with various tasks as needed.
Requirements:
  • At least 3 years of experience providing administrative support to Australian clients.
  • Strong organizational, time-management, and multitasking skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information with discretion.
  • Proactive, solution-oriented, and able to work independently in a fast-paced environment.
