Location: Remote in South Africa
Reporting to: Head of Business Development & Marketing
UK Working Hours: 7:00 AM - 3:30 PM

As the Executive Assistant to the Head of Business Development and Marketing, you will play a critical role in supporting day-to-day operations, including planning, project management, administrative tasks, communication, reporting, and follow-up activities. You will manage inbound communications, collaborate with other departments, and coordinate the executive’s calendar, ensuring smooth operations and timely execution aligned with the executive’s vision and strategy.

Key Responsibilities:
  • Administrative Support:
  • Organize and manage the executive’s calendar, scheduling meetings, appointments, and travel arrangements.
  • Prepare the executive for meetings by ensuring they have all necessary documents and information.
  • Handle sensitive information with confidentiality and professionalism.
  • Communication Management:
  • Act as the main point of contact between the executive and internal/external stakeholders.
  • Draft, review, and send communications on behalf of the executive.
  • Maintain and organize digital records and correspondence.
  • Meeting & Event Coordination:
  • Organize virtual meetings, prepare agendas, take meeting notes, and track follow-up items.
  • Schedule and coordinate team meetings, client calls, and business engagements.
  • Project Management:
  • Assist in the planning, coordination, and execution of business development and marketing projects.
  • Create project plans, manage timelines, and ensure timely task completion across departments.
  • Sales Call List Creation & Prospect Research:
  • Compile targeted sales call lists and gather information about potential clients for prospecting.
  • Schedule and coordinate sales calls and assist with sales pipeline management.
  • Travel & Expense Management:
  • Arrange travel itineraries, accommodations, and logistics for the executive.
  • Process travel expenses and administrative paperwork.
  • Document Preparation:
  • Prepare presentations, reports, and documents, conducting research and compiling data as needed.
  • Task Prioritization:
  • Prioritize tasks, manage competing deadlines, and ensure the executive’s time is efficiently utilized.
  • Relationship Management:
  • Build and maintain strong relationships with key stakeholders, clients, and partners on behalf of the executive.




Requirements
  • 3-5 years as an Executive Assistant, preferably in a remote environment.
  • Bachelor’s degree in business administration or a related field (preferred but not required).
  • Project co-ordination and management experience
  • Strong problem-solving skills with the ability to anticipate needs.
  • High professionalism, discretion, and confidentiality.
  • Excellent communication and interpersonal abilities.
  • Strong organizational and time-management skills.
  • Ability to work independently and handle multiple priorities in a remote setup.
  • Proficient in minute-taking and note accuracy in complex meetings.
