The Opportunity
We’re seeking a detail-oriented and organized HR Coordinator (Benefits and Training) for our growing company. As a member of the HR team, you will play a key part in ensuring a positive employee experience by overseeing employee benefits and enrollments, administering leave of absences, and leading training and safety initiatives for our team across multiple states. The HR team is growing so you will also support the department with general tasks as needed. The ideal candidate is a strong communicator that is comfortable in an employee-facing role. Candidates should have experience in a multi-state environment and possess strong knowledge of relevant laws and regulations, with the ability to quickly learn any applicable regulations as needed.

Benefits Administration:
- Support benefits administration for all company sponsored benefit plans, including medical, dental, vision, supplementary benefits, and 401(k), and any new programs.
- Act as the primary point of contact for employees regarding benefits inquiries and issues, coordinating with brokers and carriers as needed to address issues accurately, and escalate complex issues to the HR Manager.
- Assist in onboarding new employees with regard to benefits enrollment.
- Monitor all benefit changes, including new enrollments, changes, and terminations, to ensure correct records are maintained.
- Reconcile benefits invoices on a monthly basis, and audit records as needed. Regularly audit benefits data to identify discrepancies and ensure compliance.
- Proactively lead open enrollment and other benefits-related initiatives.
- Review industry-wide trends and suggest actionable changes for consideration.
- Support any benefits-related reporting, including ACA and government-mandated disclosures.
- Support the process of ensuring all benefit plans align with state, federal, and local tax laws, including ERISA, ACA, HIPAA, and COBRA.
- Uphold our strict privacy and confidentiality standards.
Leave of Absence Administration:
- Administer leave of absence programs, including FMLA, state-specific leaves, ADA, parental leave, and other company-offered leave programs.
- Directly coordinate with employees, managers, and third-party carriers to ensure accurate tracking and reporting of leave statuses.
- Communicate with HR and payroll to coordinate leave benefits and payments.
- Ensure compliance with all applicable federal and state leave laws and regulations.
- Provide guidance to employees and managers on leave policies and procedures.
Training & Development:
- Support the HR Manager in implementing training and development programs for employees at all levels.
- Assist in creating and developing training materials and resources to support employee skill development and knowledge growth.
- Review LMS course library and assign courses based on manager requests or employee development needs.
- Monitor LMS to track and enforce employee training completions, while maintaining accurate records and generating reports as needed.
- Coordinate and occasionally lead training sessions, webinars, and onboarding programs, ensuring alignment with company objectives and compliance requirements.
Safety & Compliance:
- In partnership with Operations, coordinate company-wide safety programs, including OSHA compliance, hazard communication, and injury prevention training.
- Process and submit workers’ compensation claims, work with carriers, and coordinate the employee’s return to work.
- May assist in conducting safety audits and inspections to ensure a safe working environment.
- Assist in tracking incident reports and follow up with corrective actions as needed.
- Keep abreast of state and federal safety regulations, suggesting policy updates as required.
HR Support:
- Act as the primary contact for questions related to benefits, leave, and training.
- Collaborate with HR and Operations teams to ensure employees receive timely support and accurate information.
- Contribute to the creation of HR communications and other resources to promote employee awareness of available programs.
- Support the HR team with general tasks, including systems account creation and travel reimbursements, as needed.

- Proficient with Microsoft Office Suite or related software, including Excel or Google Sheets.
- Proficiency in HRIS, LMS, and benefits software. Rippling experience is strongly preferred.
- Ability to learn new systems quickly, as needed.
Required Education and Experience
- Minimum of 2-4 years of experience in a related role, ideally spanning benefits administration, leave management, safety, and/or training coordination.
- Prior experience with benefits management and leave of absence is required.
Preferred Education & Experience
- Bachelor's degree from a regionally accredited institution in business, human resources, or a related field, or equivalent experience in lieu of degree, is preferred.
- Experience in a multi-state environment, particularly in reference to leave management, is strongly preferred.
- Experience in Rippling strongly preferred.
- Experience in safety/OSHA regulations is a huge plus.
- Relevant certifications, including CEBS, PHR, SHRM-CP, etc. is a huge plus, but not required.
Work Environment and Physical Demands
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies that weigh up to 20 pounds, and to bend and stand as necessary.
Position Type/Expected Hours of Work
This is a full-time position during regular business hours in the employee’s time zone. Occasional evening and weekend work may be required as job duties demand.
Travel
Occasional travel (under 5%) to company locations across the country may be required, as needed.
