Job description

People and Business Operations Specialist

Owl Labs is seeking a People and Business Operations generalist. This role will be crucial in ensuring the smooth operation of our office, coordinating employee experiences and HR initiatives, including onboarding, performance management, and benefits administration. 

WHAT YOU’LL DO

  • Run the onboarding life cycle experience, including pre-hiring communication, orientation, and one-month check-in.
  • Coordinate with managers and IT to ensure a smooth offboarding process.
  • Facilitate benefits administration, including open enrollment, employee questions, monthly invoice intake, and communication with external brokers.
  • Assist hiring managers in sourcing and scheduling candidates.
  • Administer the annual employee engagement survey and work with teams to identify issues.
  • Provide system (HRIS) support during the annual review process. 
  • Assist with the coordination and scheduling of internal and external employee experience activities, such as lunch and learns, meetings (onsite and offsite), and DEIB opportunities.
  • Office Management: assist in managing relationships with office vendors and service providers. Identify and fulfill inventory for all office and kitchen supplies. Maintain office appearance of common areas, organizing procedures, handling correspondence, and overseeing office supplies and equipment.
  • Retrieve and distribute incoming mail to appropriate teams and locations.
  • Assist with executing ad-hoc and special projects.
  • Serve as the liaison between employees and payroll consultants across multiple states.

QUALIFICATIONS

  • 2+ years of professional experience, with direct experience with operations and benefits management and exposure to people & culture processes and the employee life cycle.
  • Eager, proactive, and collaborative approach to each day.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks with excellent attention to detail.
  • Experience with benefits administration, including open enrollment processes, COBRA compliance, and employee communications.
  • Impeccable communication skills.
  • Able to work independently and collaboratively.
  • Be a problem solver; identify recommendations for increased efficiency and creative solutions to work and issues.
  • Proficiency in G-Suite and other relevant software, including payroll and HR Systems.
  • Project management skills.
  • Handle confidential information and communication appropriately.

This position requires you to be physically present at our office for two days each week. There may be occasional additional days needed for company events or off-site meetings.
