Job Overview

We are seeking a highly organized and proactive Hybrid Executive/Personal Assistant to the CEO, who is spearheading a diverse portfolio that includes a healthcare firm and an emerging non-profit. This unique opportunity allows for a hybrid work setup, with four days in the office and one remote day, while also providing flexibility for remote work during travel.

Key Responsibilities

  • Calendar Management: Efficiently oversee and maintain the CEO’s calendar, adeptly coordinating across multiple time zones for appointments and meetings.
  • Meeting Coordination: Organize both internal and external meetings, ensuring thorough note-taking and timely follow-ups.
  • Correspondence Management: Systematically manage written correspondence to facilitate prompt responses and effective communication.
  • Travel Arrangements: Coordinate comprehensive travel plans for both business and personal commitments, including detailed itineraries for domestic and international trips.
  • Email Management: Prioritize and vet the CEO’s emails, ensuring that critical messages receive timely attention.
  • Presentation Support: Develop and refine PowerPoint presentations to maximize their visual effectiveness.
  • Research: Perform background research to assist in the creation of training materials and informative briefs.
  • Expense Processing: Accurately prepare and process expense reports.
  • Phone Management: Screen incoming calls, delivering well-detailed messages to relevant parties.
  • Personal Assistance:
    • Personal Errands: Support personal travel arrangements, appointments, and online shopping to ensure seamless execution.
    • Vendor Management: Conduct research and hire necessary vendors for home maintenance and special projects.
    • Ongoing Tasks: Maintain an organized to-do list and assist with household and vehicle management.
    • Communication: Correspond with child's teachers as necessary.
    • Special Projects: Be available for special assignments, which may require off-hour availability.
Required Skills

  • Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Excellent communication and interpersonal abilities.
  • Proven capability to work autonomously and take initiative.

Qualifications

  • Minimum of 5 years of experience in a related support role.
  • Previous experience assisting C-level executives is highly advantageous.
  • A BA/BS degree from an accredited institution is preferred.
