Job Title: Operations Analyst I - Remote

Role Overview

We are in search of a proactive Operations Analyst I to become a vital member of our team. This position is crucial in supporting our language professionals and the overall workforce, ensuring adherence to the highest quality standards. The successful candidate will exhibit a strong commitment to excellence and possess a genuine passion for providing administrative support.

Key Responsibilities

  • Provide assistance to language professionals in maintaining Language Quality products.
  • Conduct analysis of the activities performed by language professionals, special agents, Intelligence Analysts, and other staff members.
  • Support Remote Base Training programs.
  • Collaborate with regional liaisons and field offices to facilitate smooth operations.
  • Establish effective communication with linguists to ensure an efficient workflow.
  • Develop, customize, and maintain presentations, briefing materials, and documents utilizing Microsoft Office Suite and other relevant software.
  • Review and refine correspondence for internal consistency and compliance with established standards.
  • Manage and update management calendars using Microsoft Office Suite, including scheduling appointments and organizing meetings.
  • Coordinate and facilitate meetings and special events, including overseeing all amenities, accommodations, and visit requests.
  • Handle travel requests, arrange travel and lodging, and coordinate schedules for visits.
  • Maintain schedules for conference room reservations for meetings, visits, and appointments.
  • Input and manage office databases, encompassing organizational charts, personnel accountability, travel, training, and budgetary information.
  • Act as the records manager and ensure the upkeep of office files.
  • Collect, review, and archive various forms, including leave requests and telework applications, entering pertinent data into the timekeeping system.
  • Organize electronic materials, presentations, and documents through databases and SharePoint sites.
  • Prepare property turn-ins and process training requests, travel vouchers, conference requests, and personnel-related documents.
  • Respond to administrative queries and tasks within established deadlines, maintaining accurate records of outcomes.
  • Welcome and screen visitors and telephone calls, providing professional responses to inquiries and routing them to the appropriate staff.
  • Operate standard office equipment, submitting repair requests as necessary.
  • Adhere to standard operating procedures (SOP) and Internal Operating Procedures (IOPs) related to personnel accountability, safety, and security.
  • Prepare and review correspondence for grammatical accuracy, tone, clarity, and formatting, making necessary corrections and retyping as needed.
  • Participate in Integrated Product Teams (IPTs) or groups aimed at enhancing administrative processes and procedures.

Qualifications

  • Active Top Secret Clearance is a prerequisite.
  • High school diploma and three (3) years of general office experience, or a Bachelor's degree from an accredited university or relevant training may substitute for experience.
  • Proficiency in Microsoft Office Suite, especially PowerPoint, Excel, and Word.
  • Excellent oral and written communication abilities.
  • Familiarity with standard office equipment is required.

Work Location:

This position is based on-site in Washington, D.C.
