Job description

Interim Senior Business Administrator

(12-month contract)
Location: Hybrid out of our Leeds, UK Office


We are looking for an Interim Senior Business Administrator to organize and coordinate administration duties and office procedures in our Leeds and London offices. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. 

Senior Business Administrator responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Previous experience as an Office Manager or Office Administrator is necessary.  A successful candidate should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Interim Senior Administrator should be able to ensure the smooth running of the office and help to improve company procedures and day-today operation. 

Responsibilities 
  • Serve as the point person for office and administration duties including: 
  • Maintain the office condition and arrange necessary repairs
  • Organize office operations, procedures and policies
  • Assist with arrangements for visitors to office
  • Arrange basic refreshments for the two offices
  • Provide general support and refreshments to visitors
  • Schedule meetings and appointments
  • Plan in-house or off-site activities
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Asset management
  • Address employee queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
  • Health & safety management
  • Answering phone calls
  • Call answering service management, including logging on call rota information
  • Booking travel and accommodation
  • Assisting Sales with event organization
  • Assisting SVP of Sales with expenses
  • Ordering and management of marketing SWAG for events
  • Shipping 
  • General office errands
  • Opening and distribution of post
  • General administrative support
  • Arrange for remote working equipment to be shipped to employees 
  • Arrange for the collection of equipment from leavers 
  • Adding new starters to UK email distribution lists and message groups 
  • Any other duties as required by the line manager, and senior team
Requirements 
  • Proven experience as an administrative assistant 
  • Knowledge of office administrator responsibilities, systems and procedures 
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)  
  • Excellent time management skills and ability to multi-task and prioritize work 
  • Attention to detail and problem-solving skills 
  • Excellent written and verbal communication skills 
  • Strong organizational and planning skills in a fast-paced environment 
  • A creative mind with an ability to suggest improvements
