DPV Transportation Inc. 

Administrative Coordinator 

We are looking for an Administrative Coordinator to support DPV’s Chief Operating Officer. You will Provide high level administrative support in an extremely fast paced office environment. Organize and conserve the Executive’s time, be proactive in anticipating needs, assist in daily planning processes and promote the corporate image by representing the Executive, both internally and externally. 

Hours: 

Remote/virtual position – You get to work from home  

Qualifications: 

  • Must be 100% fluent in both English and Spanish 

  • Must be proficient in Excel and other MS office programs 

  • Must have outstanding communication skills, both written and verbal 

  • 2-3 years of experience in an administrative role, preferred 

  • Must have strong project management skills  

  • Must be proficient and up to date with new technology 

  • Entrepreneurial mindset: self-starter, high level of initiative, proven proactive thinker. 

  • Handle confidential materials with utmost discretion, integrity and diplomacy. 

  • Professional business presence and acumen 

  • Understanding of standard office administrative practices and procedures 

Responsibilities: 

  • Communicate, collaborate and cooperate with staff, clients, consultants, vendors in all business interactions 

  • Complete projects and special assignments in a timely manner by establishing objectives, determining priorities, managing time, gaining cooperation of others and problem-solving. 

  • Update and maintain file systems, marketing material cataloging and outlook as well as CRM contact lists. 

  • Responsible for the calendar management of the President 

  • Assist in corporate travel logistic by developing itineraries and agendas; book air and ground transportation, arrange lodging accommodations, meeting/event registrations and meal functions reservations. 

  • Assist in scheduling and preparation of speaking engagements and video/audio conferencing 

  • Prepare and update financial reports on a weekly basis. Reconcile event/company budgets and invoicing needed. 

  • Compose and prepare correspondence for approval, signature and distribution 

  • Assist in special projects on an as needed basis with other staff members 

Salary: $4Mil
