Job Description

We're looking for an experienced Executive Assistant to support our growing team. This role is perfect for someone hungry to learn, grow, and expand their skillset by wearing multiple hats to assist the CEO in the business's operations. You'll be exposed to all business areas with the opportunity to grow in your role and learn the intricacies of running a successful services business.

Your Responsibilities:

  • Managing the CEO's day-to-day activities, emails, calendar, and travel arrangements
  • Assisting with the sales team by collecting and qualifying new leads.
  • Assisting with onboarding new clients onto our systems so that the services team has the access required and can complete work.
  • Assisting in the hiring of new team members by posting job advertisements, shortlisting candidates, and setting up interviews for the CEO
  • Assisting with onboarding new team members and guiding them through our training programs
  • Sending contracts to new clients and new team members
  • Assisting with team social events (fun game ideas, organizing events)
  • Invoicing clients and chasing up unpaid invoices
  • Designing images for client banner remarketing on the Google Display network

What we're looking for someone that is:

  • Autonomous. Is autonomous and makes decisions on behalf of KeyCommerce for the greater good of the organization and team.
  • Reliable and self-managed. Doesn't miss deadlines, meetings or commitments. Creates systems to assist themselves in preventing this from happening (self-management).
  • Forward-thinking. Projects ahead for issues and conflicts and prepares in advance to avoid them. Is active and does not wait for problems to occur before fixing them. Can pre-empt issues and make preparations now to prevent them in the future.
  • Decisive. Able and confident to make decisions and solve issues without involving Sam. Can understand the boundaries of a task/project/system and make calls within those boundaries without needing input from Sam.
  • Adaptive and focused on improvement. When issues occur, can plan and create solutions that improve systems and operations to prevent the problem from happening again.
  • Organization and self-management. Highly organized, disciplined, driven, and energetic.
  • Honest. Is comfortable being honest with the team (including CEO) when finding better ways to structure things (systems, processes, etc.).
