Job Summary

The Executive Assistant role is integral to providing high-level administrative support to the President of FOCUS. This position aims to ensure that the leadership team operates efficiently by managing schedules, coordinating meetings, organizing communications, and handling confidential information. Additionally, this role aligns closely with company goals by supporting HR in screening job applications and assisting with entry-level recruiting efforts to build a strong and diverse workforce. Together, these functions contribute to a seamlessly run executive office and aid in driving organizational growth and success.

Duties/Responsibilities

Administrative Support  

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements. 
  • Prepare and edit correspondence, communications, presentations, and other documents. 
  • Act as the point of contact between executives and internal/external stakeholders. 
  • Coordinate logistics for internal and external meetings, including preparing agendas and taking meeting minutes. 
  • Manage expense reports and reconcile monthly credit card statements. 

Application Screening & Recruiting Support

  • Review and screen incoming job applications for entry-level and high-volume roles. 
  • Coordinate with the HR department to schedule interviews and communicate with candidates. 
  • Conduct initial phone screens or applicant assessments as needed. 

Category: Office Coordination  

  • Manage office supplies and equipment, ensuring availability and functionality. 
  • Assist in planning and executing company events and executive off-site meetings. 
  • Support the broader team with ad-hoc administrative tasks as needed. 

Ad Hoc Assignments

  • Provide support for miscellaneous special projects or assignments as required by the executive team. 

Education and Experience

  • High school diploma or equivalent required; associate or bachelor’s degree preferred. 
  • Administrative or HR-related certifications are a plus. 
  • Proven experience as an executive assistant, administrative assistant, or in a similar role. 
  • Experience in a supporting HR or recruiting role for up to 2 years required.
  • Proficiency in office management systems, Microsoft Office Suite, and video conferencing tools. 

Knowledge, Skills, and Abilities

  • Proactive with excellent organizational and time management skills. 
  • Strong written and verbal communication abilities. 
  • Ability to handle confidential and sensitive information with a high degree of discretion. 
  • Strong attention to detail with the capacity to manage competing priorities effectively. 
  • Capable of working both independently and collaboratively in a fast-paced environment.
