Job description

This is a full time position located from a remote office anywhere in the country with a requirement of up to 25% national travel in accordance with public health guidelines.

What You’ll Do:

The Elementary Reading team designs, delivers, and continuously improves two learning pilots – our Early Literacy Pilot, in partnership with Knox County Schools, and our Elementary Reading Initiative, in partnership with three districts in Colorado and Texas and increasing the number of partners we support over time. The Operations Coordinator will be tasked with supporting our Elementary Reading team members with operations and logistics needs, in service of our team members providing excellent support to our district and school partners and learning and improving the initiative over time. The role will plan and execute logistics related to partner delivery, meetings, and training for the assigned teams and partner regions and maintain scheduling, deliverables tracking, and financial tracking systems. The Operations Coordinator will play a critical role in supporting the weekly and monthly coordination and execution of our partner school system deliverables for the assigned team. From creating and managing project plans to communicating with partners and participants, they will support the team’s work to run smoothly. This role will report to the Executive Director of Elementary Reading.

Responsibilities:

  • Schedule and coordinate virtual and in-person partner meetings, trainings, and other service design, prep and delivery events of the Elementary Reading team, including: 
    • build online access for resources and materials
    • support materials development (copy editing, formatting, printing)
    • organize schedules, prepare school and partner-specific materials, and support the development of summary reports and presentations
    • coordinate with team members to assign surveys for participants
    • support internal learning through curation of meeting survey data and other partner progress data as needed
  • Support the Executive Director of Elementary Reading and the Elementary Reading or Early Lit service design and delivery teams (20 team members) on team operations, including: 
    • Maintain and audit project work trackers and financial tracking systems, including: 
      • track completion of contract deliverables and progress on learning and impact goals in coordination with R&D team
      • coordinate with the Finance team on partner invoicing based on deliverables completion
      • support funder reporting and data summaries
    • Coordinate and manage prep and logistics for team meetings, professional learning, team building, and retreat logistics, including:
      • draft and share meeting agendas and related pre-and post-meeting communications to meeting participants under the direction of senior leaders
      • attend planning meetings 
      • coordinate communication planning and messaging to team members and other invitees 
      • (as requested) facilitate meeting logistics, including creating Zoom links, Zoom breakout rooms, and curating meeting music playlist
    • Support team knowledge management structures and materials sharing—particularly on Google Drive, Box, and/ or other selected platforms
    • Directly manage senior leaders’ calendars and make travel arrangements, as requested
    • Provide additional support as needed, specifically providing scheduling and logistics support, including support with copy editing, materials access, ordering, Google Drive management, providing data analysis, and material formatting

Required Candidate Qualifications:

  • 2+ years of experience with logistics planning 
  • Some education experience highly preferred 
  • Experience managing complex projects and multiple work streams
  • Proficient in Microsoft Office, Google Suite, and Zoom 
  • Excellent organization and attention to detail
  • Self-starter with strong reasoning and communication skills and comfort with ambiguity
  • Strong desire to provide high-quality support to team members working directly with schools and school systems, all in service of providing excellent support to our school system partners
  • Desire and ability to work in a fast-paced, collaborative environment
  • Able to keep many projects moving forward concurrently

Compensation:
