Job description

This is a remote position.

Virtual Rockstar is looking for a highly organized, proactive Executive Assistant to support the founder of a fast-moving, mission-driven healthcare technology company based in New York. This is a full-time remote role for someone who thrives in a fast-paced environment, loves solving problems, and can manage operations behind the scenes with precision.

Our client is building AI-powered software that radically simplifies the lives of clinicians. By automating complex workflows, their platform allows providers to focus on delivering patient care while everything else runs quietly in the background.

Responsibilities

  • Manage the executive’s inbox, maintaining inbox zero twice daily and flagging urgent messages via Slack

  • Oversee calendar and scheduling, prioritize meetings, and protect focus time

  • Book and manage travel: flights, accommodations, transportation, and itineraries

  • Coordinate tasks and projects using Notion

  • Handle document preparation and manage internal communication

  • Schedule personal and family appointments

  • Maintain the executive’s personal to-do list and ensure follow-through

  • Update CRM (Pipedrive) and assist with light follow-up on sales or partnerships

  • Support admin tasks, HR duties, and operational routines

Bonus (Nice to Have)

  • Design simple content in Canva

  • Create and send campaigns in MailChimp

  • Build automations in Zapier

Tools You’ll Use

Slack, Google Workspace, Notion, Pipedrive, Calendly

Requirements
  • 2+ years of experience as an Executive Assistant or similar support role

  • Exceptional organizational skills and attention to detail

  • Strong written and verbal communication skills

  • High degree of discretion and professionalism

  • Proven ability to manage multiple priorities independently

  • Comfortable using modern productivity tools and quickly adapting to new systems

  • Experience supporting a startup founder or fast-paced executive is a plus

  • Availability during U.S. Eastern Time hours
