JOB DESCRIPTION FOR A SENIOR EXECUTIVE ASSISTANT
Your Responsibilities as a Senior Executive Assistant would be: Office Administrative Assistant Scheduling & Calendar Management Schedule all client appointments Manage calendars for advisors, events, and office-wide scheduling Coordinate and communicate team schedules, meetings, and availability Serve as the point person for resolving office or scheduling issues Review and filter appointments using Redtail & client service spreadsheet Make reminder calls and texts to clients Oversee appointment confirmations, agendas, and requests for planning data Update the Meeting Process documentation as needed Client & Administrative Support Provide concierge-level service to top-tier clients, over the phone, and in writing Maintain and update client profiles in Redtail Go the extra mile—track client preferences, trusted contact etc. Assist in compliance documentation such as Client Profile and Risk Tolerance Oversee new client onboarding, ongoing service, client appreciation and events Assist with planning and executing events: Send invitations for events/webinars Attend and support day-of logistics Collect and act on client feedback to enhance service quality
Communication Phone Support Answer and direct incoming calls Log all calls into Redtail Maintain and train staff on phone scripts Coordinate and troubleshoot phone system issues (GoTo) Mail & Email Communication Prepare client celebration cards (birthdays, special occasions) Maintain and update email lists (Redtail & Outlook) Manage list additions, deletions, updates Segment and maintain client email groups (Redtail) General Office Support Log client checks Manage incoming/outgoing mail and packages (USPS/UPS) Coordinate outside vendors and service providers Learn and support Schwab processes (paperwork, money movement, DocuSign) Develop, document, and improve office procedures and systems Encourage and implement feedback to improve internal processes and client service Personal Development & Team Growth Develop and maintain written documentation of all responsibilities and procedures Maintain a daily task prioritization system "Top 6" Lead by example in continuous learning and self-improvement Pursuing at least one new professional learning opportunity each quarter Share tips, tools, or training with the broader team to boost efficiency Quarterly Challenge: Create or enhance 2 client-related processes Semi-Annual Challenge: Complete a new learning or professional development course Share newly acquired knowledge with the team (e.g., software tips, productivity shortcuts)
Qualifications as a Senior Executive Assistant : 3-5 years of experience as an Executive Assistant Strong communication skills (both verbal and written) in English. Exceptional attention to detail and ability to multitask. Proactive, assertive, and capable of working independently with minimal supervision. Familiarity with CRM systems and digital communication platforms. Experience in administrative support roles, preferably in client-focused industries. Demonstrates a high degree of professionalism, organization, and reliability. A growth mindset with the willingness to take on new challenges and build new systems.
