An international consulting firm focused on human and social development and governance is seeking a Tender & Proposal Specialist to manage the preparation and submission of competitive bids for development projects. The role is central to enhancing the company’s proposal development capacity by ensuring efficient coordination, compliance, and high-quality submission of documents—particularly for EU-funded tenders.
Key Responsibilities
Proposal Administration & Coordination
Manage submission timelines and coordinate inputs for Expressions of Interest (EoIs) and proposals.
Liaise with internal teams and external partners to gather CVs, legal documents, and declarations.
Track progress, flag outstanding items, and ensure timely delivery of complete proposals.
Document Formatting & Quality Control
Format CVs, operational and methodological sections, and annexes per EU guidelines.
Standardise layouts and styles across all proposal components.
Compile and perform final checks on documents to ensure accuracy and professionalism.
Database & Document Management
Maintain expert and project databases with accurate, up-to-date information.
Organise proposal documentation using proper naming conventions and filing systems.
Keep bid logs, trackers, and archives up to date for reporting and compliance.
Partner & Expert Documentation:
Assist in gathering Statements of Exclusivity, diplomas, and partner legal paperwork.
Ensure completeness and compliance before handover to the Administrative Unit.
Success Indicators:
Proposals submitted on time, with full compliance with donor requirements.
Positive feedback on document quality, structure, and formatting.
Accurate, up-to-date internal databases and well-maintained archives.
Minimal need for revisions or clarifications due to formatting or administrative errors.
Requirements
2–3 years of experience in administration, coordination, or business support within the development corporation landscape.
Proven ability to format proposals and manage documentation effectively.
Bachelor's degree or higher (required), with a strong interest in development issues.
Excellent written and verbal communication skills.
Highly organised with strong attention to detail.
Understanding of business development processes and contracting procedures.
Strong interpersonal skills and ability to work with diverse stakeholders.
Desirable Attributes
Experience with international donors such as EU Delegations, GIZ, or UN agencies.
Multilingual abilities and openness to occasional travel.
Background in proposal management and client-facing presentations.
Familiarity with the development sector and its operational standards.
