Description

Job Title: Proposal and Technical Writing Specialist 
Reports to: Contracts Manager

Department: Sales 
Location: Remote (Must reside and work within AL, FL, IL, MD, MT, NC, OR, SC, TN, TX, NJ, NY) 
Status: Full-Time/Non-Exempt 

 

Objective of the Position 

The Proposal and Technical Writing Specialist is an essential part of the sales team, collaborating with Relationship Managers, Executive Leadership, and the Contracts Manager to craft persuasive, high-quality request for proposals (RFP) that secures new business opportunities. This role combines technical responses with strategic positioning to develop materials that win contracts and establish the organization as a trusted partner. 

In addition to creating sales proposals, the specialists will collaborate with internal teams to develop client-facing solicitation responses and proposals that convey complex information clearly and concisely.  As a key collaborator, the Sales Technical Writer ensures all written materials are accurate, aligned, and impactful, supporting both business development efforts and client success. 

 

What you will do:  

 

Request for Proposal Responses 

  • Serve as an assistant writer for RFP, RFQ, QSP responses and other formal solicitations, ensuring clarity, accuracy, and strategic alignment with client needs. 

  • Collaborate with Relationship Managers, Executive Leadership, and the Contracts Manager to understand client objectives, pain points, and priorities. 

  • Write and edit proposal response documents, including proposals, presentations, and other client-facing materials, that highlight the organization’s value proposition. 

  • Tailor content to client-specific requirements while maintaining compliance with submission guidelines and deadlines. 

  • Develop reusable templates and maintain a repository of high-quality content for future use. 

  • Track and maintain accurate records of changes and updates related to proposals.  

  • Ensure proposals effectively address client requirements and position the organization competitively. 

  • Work closely with the Contracts Manager to ensure alignment between sales materials and contracting processes. 

Technical Writing for Client Products and Reports 

  • Draft, edit, and proofread technical reports and client-facing deliverables, ensuring complex information is conveyed clearly and accurately. 

  • Ensure all technical documents meet organizational standards for quality, compliance, and client satisfaction. 

Collaboration & Team Integration 

  • Act as a key member of the sales team, partnering with internal stakeholders to develop materials that support business development efforts. 

  • Participate in brainstorming and strategy sessions to gather insights for tailored content creation. 

  • Communicate regularly with team members to provide updates on project progress and incorporate feedback. 

  • Build strong relationships across departments to ensure seamless coordination and high-quality output. 

Process Optimization & Strategic Input 

  • Maintain a detailed sales document calendar to track deadlines, submissions, and outcomes. 

  • Continuously improves the content creation process to enhance efficiency and effectiveness. 

  • Stay informed about industry trends and competitor strategies to develop innovative and impactful sales materials. 

Calendar Organization:  

  1. Manage and organize calendar and deadlines for proposals, ensuring timely updates and submissions.  

  1. Coordinate with various departments to schedule document review and approval meetings related to grants and proposals. 

Qualifications

What we are looking for:  

 

Required Education and Experience 

  • Associate's degree in communications, Marketing, English, or a related field AND 

  • 2+ years of experience in proposal writing, proposal development, or sales-focused copywriting. 

  •  Strong understanding of document formatting, version control, and content management. 

  • Basic knowledge of relevant software (e.g., MS Office 365 to include Outlook, Excel, WORD, and Teams, Adobe Acrobat, Canva, and document management tools) required. Intermediate knowledge is preferred. 

  • Ability to convey technical information clearly and effectively for both technical and non-technical audiences.  

  • Excellent organizational skills with the ability to manage multiple projects and deadlines simultaneously. 

  • Effective collaboration and communication skills, with a focus on building strong relationships across teams. 

  • Knowledge of the contracting process and integration with sales proposal documents is a plus. 

 

Skills and Competencies 

  • Excellent writing, editing, skills with a focus on persuasive, client-centered content. 

  •  Proficiency in Microsoft Office Suite, Adobe Acrobat, Canva, Excel and familiarity with document management systems. 

  • Excellent organizational skills with the ability to manage multiple projects and deadlines simultaneously. 

  • Effective collaboration and communication skills, with a focus on building strong relationships across teams. 

  • Knowledge of the contracting process and integration with sales documents is a plus. 

  • Ability to work independently and manage multiple tasks simultaneously 

 

Key Performance Indicators (KPIs) 

  • Number of sales documents and proposals resulting in successful contracts or new business. 

  • Timeliness and compliance of all submissions with client requirements. 

  • Internal stakeholder satisfaction with the quality and alignment of materials with sales objectives. 

  • Contribution to process improvements and content repository development.
