Remote Administrative Assistant - Work from Home (Part-time/Contract)
The Remote Administrative Assistant is responsible for coordinating the organization’s administrative activities and storing, retrieving, and integrating information for dissemination to staff and clients. Additionally, you may be expected to manage various projects and perform research as required by the senior management team that oversees the organization’s activities. You will be expected to properly use the telephone, electronic mail services, conferencing technologies, and various web sites in the performance of this job.

Respond to correspondence from staff and clients, direct them to the appropriate staff members.
Provide clients with necessary information.
Assist with managing calendars, scheduling appointments, and coordinating meetings.
When requested, prepare agendas used for meetings which at times, you may be requested to attend to record and transcribe minutes of the proceedings.
Must be able to create and manage spreadsheets.
The ability to work on multiple projects simultaneously while maintaining accuracy.
The ability to effectively collaborate with coworkers, clients, and suppliers.
Must be able to compose clear and accurate correspondence with clients and inter-company personnel.
Create presentations, reports and documents using software and/or digital graphics.
Maintaining files on account receivables and updating records as required.
Ensuring that clients and/or suppliers are informed of any changes to service agreements and payment options.
Archiving financial documentation and updating accounting databases on a monthly or annual basis.
At times, you may be requested to arrange travel accommodation for the staff, including coordinating online conferences and meetings.
As needed, assist with bookkeeping; preparation of client financial documents such as invoices, tax filings, and monthly client profit reports.
Updating management on any financial discrepancies found during tax filing or invoicing duties.
Remote Administrator Assisstant Requirements
Requires knowledge and experience in customer service and administrative support.
Demonstrated ability to communicate in both written and verbal format to meet position responsibilities.
Demonstrated ability to use word processing, database, spreadsheet and graphic computer programs - proficiency in MS Office and Outlook.
Personable, positive, and enthusiastic attitude, with capability to deal effectively with all people.
High level of accuracy and efficiency in performing job tasks.
Proven experience as an Administrative Assistant or a similar role. At least one year of administrative experience is preferred.
Ability to work independently and prioritize tasks.
Ethical behavior when dealing with sensitive financial information.
A solid understanding of financial processes such as bookkeeping and tax filing is a plus.
Willingness to comply with all company, local, state, and federal financial regulations.
High School diploma is required, more education and experience in accounting, business, administration, or similar are generally preferred.
WORK ENVIRONMENT -
This is a remote - work from home - position.

Expected workdays are Monday through Friday.
