Job Requirement:

We are looking for a detail-oriented and collaborative HR Specialist to join our growing team. This role is essential in delivering a smooth and engaging onboarding experience, coordinating pre-employment processes, and maintaining accurate digital employee records. The ideal candidate is highly organized, tech-savvy, and thrives in a cross-functional, fast-paced environment.


Key Responsibilities

Pre-Employment & Onboarding Coordination

  • Ensure a seamless integration of new hires into the organization.
  • Collect, verify, and organize all pre-employment documents to ensure compliance with company policies and standards.
  • Schedule and coordinate Pre-Hire and New Hire Orientation sessions in partnership with key departments.
  • Facilitate the full onboarding process, including the creation of personnel files and completion of required forms.
  • Prepare onboarding kits (e.g., welcome packs, company shirts) to support a welcoming first-day experience.
  • Serve as the primary point of contact for new hires, addressing general inquiries and helping them transition smoothly.
  • Conduct onboarding calls to guide and prepare new hires with clear next steps and expectations.
  • Coordinate with the IT Manager to ensure timely shipment and delivery of equipment and resources.

Digital Records & HR Systems Administration

  • Maintain and update digital employee records (e.g., 201 files, post-onboarding documentation) with accuracy and confidentiality.
  • Monitor onboarding progress and completion of pre-employment requirements via HR systems.
  • Support HR systems reviews and propose improvements to enhance efficiency and data integrity.

Background Checks & Compliance

  • Handle confidential information with discretion and ensure all screening and documentation processes meet legal and internal compliance requirements.

Process Improvement

  • Identify bottlenecks and recommend enhancements to improve the overall onboarding workflow.
  • Collaborate with stakeholders to continually elevate the candidate and new hire experience.

Cross-Functional Collaboration

  • Act as a bridge between Recruitment, HR, Finance, IT, and other departments to ensure onboarding tasks are completed accurately and on time.
  • Drive alignment across teams through clear and proactive communication throughout the onboarding cycle.
