Job Requirements:

  • Experience and Expertise: Minimum of 2.5-5 years of experience as an Executive Assistant or in a similar administrative role. 
  • Proven ability to handle complex administrative tasks with professionalism and efficiency. 
  • Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with tools for email management, calendar scheduling, and document creation. 
  • Experience with Gmail and related productivity tools is preferred.
  • Organizational Skills: Demonstrated ability to prioritize tasks, manage multiple responsibilities, and maintain a structured workflow in a fast-paced environment. 
  • Attention to Detail: High level of accuracy in document creation, email responses, and task execution, ensuring that all outputs meet professional standards. 
  • Strong Communication Skills: Excellent verbal and written English communication skills, with the ability to draft clear, concise emails and communicate effectively with various stakeholders.
  • Integrity and Discretion: Proven ability to handle sensitive information with confidentiality and professionalism. 
  • Familiarity with the importance of maintaining data security.

Core responsibilities:

  • Email and Communication Management: Organize, prioritize, and respond to a high volume of business and personal emails. 
  • Draft and review professional correspondence, ensuring prompt and effective communication. 
  • Serve as a buffer for incoming inquiries, managing email responses and scheduling follow-ups as needed.
  • Meeting Coordination: Schedule and manage meetings, ensuring all appointments are added to the calendar with clear details. 
  • Prepare agendas, take minutes, and follow up on action items. 
  • Tax and Compliance Support: Assist in managing county, state, and federal tax filings, ensuring deadlines are met. 
  • Organize and maintain records related to quarterly, yearly, and business-specific tax requirements. 
  • Standard Operating Procedures (SOPs): Collaborate with the business owner to create, document, and refine SOPs for various business processes. 
  • Ensure all procedures are well-organized and accessible for team members. 
  • Document Creation and Organization: Develop professional documents, including PDFs, spreadsheets, and reports, based on provided notes or instructions. 
  • Maintain an organized repository for easy access and retrieval. 
  • Project Support and Task Management: Provide day-to-day administrative support, assisting with miscellaneous tasks and projects. 
  • Ensure efficiency and follow-through on assigned responsibilities to free up time for leadership focus on business growth.
