We are excited to be looking for a new remote Project and Resource Manager, based in the Philippines or Malaysia, to join our team. The primary objective of this role is to increase project profitability, velocity and team utilisation through upfront and effective project planning. We are hiring this role with a long term view, beginning as a 12 month contract with the possibility of permanent employment.
What You Will Be Doing:
You will be the central orchestrator of the Leadership team, managing complex project lifecycles and navigating the intricate demands of diverse stakeholders, both internal and external. This role demands a sophisticated understanding of resource allocation, encompassing the dynamic management of incoming new business and the strategic planning of the leadership team's capacity with the rest of the agency. You will ensure seamless project delivery, maintaining meticulous data integrity within HubSpot and Kantata. Furthermore, you will spearhead the comprehensive onboarding of new business, ensuring the precise creation of legal documents, contracts, and critical project documentation, demanding a high degree of accuracy and strategic foresight.
Resource Management & Planning: You will drive resource optimisation for the squad, collaborating with stakeholders to understand project demands and implementing effective resource planning within the agency tool(Kantata). This includes managing schedules, and proactively communicating any resource changes to stakeholders. You will contribute to optimising resource planning by assessing agency capacity and provide the Leadership team with actionable insights on cost reduction, productivity gains and service delivery enhancement.
Project Management: You will oversee project setup, including the creation of new projects as needed, manage deadlines, identify potential risks, and lead team meetings to ensure smooth delivery. You will also contribute to the broader agency by supporting Project Manager gaps, setting up new projects, gathering assets, setting kick-off and WIP meetings, and meticulously tracking project health.
Client Communication & Delivery: You will manage client communication throughout the project lifecycle, ensuring timely and on-budget deliverables, detailed meeting minutes, and effective meeting attendance. Additionally, you will support agency growth by nurturing new business leads and acting as a key support person for the wider agency.
Project Profitability: You'll set billing milestones and track project invoices, ensuring accurate and timely client communication. Additionally, you'll monitor task progress and manage workload to achieve both quality and financial goals.
Process Improvement: You'll contribute to agency improvements by collaborating with colleagues to standardise processes, develop project templates, and analyse data to optimise project velocity and revenue.
8+ years of experience in a digital/creative agency.
5 +years of direct resource and project management experience; You are adept at booking and managing resources and prioritising multiple deadlines to deliver top-quality work efficiently via high quality project and resource planning, workflow management and budget planning.
1 year experience using Kantata.
Experience working with budgets, timelines, and workflow optimisation to ensure smooth operations.
You are comfortable in a fast-paced environment and possess the ability to balance desired output, project scope, and client deadlines.
You are experienced in building relationships with multiple C-suite stakeholders and can confidently present deliverables and timelines to clients.
You take initiative with proactive problem-solving skills and a keen eye for detail, ensuring high accuracy and consistency in your work.
Excellent English written and verbal communication skills with high attention to detail.
Ability to work Melbourne timezone (AEDT/AEST) and attend client meetings virtually when required.
You don't work well under pressure; we have a lot going on - all the time!
You like to work at a slower pace; fast turnaround as well as high quality is important.
You are not flexible in your approach to processes; project managers need to be precise but they also need to be flexible; we understand its a difficult balance and are looking for others that understand this.
