We are a fast-paced Australian meat export business specialising in air-freight shipments to the Middle East and Southeast Asia. With increasing shipment volumes and internalising parts of our operation, we’re looking for a highly organised and detail-oriented Freight Finance & Administration Officer to support the day-to-day financial processes related to freight management.
Key Responsibilities:
Maintain and update freight booking spreadsheets with prepayments, actual shipments, and invoice reconciliation.
Record incoming invoices from freight forwarders, matching them against weekly shipping schedules.
Calculate freight costs per kilo and maintain accurate credit balances.
Flag when top-up payments are required based on shipping volume and prepayments.
Conduct weekly reconciliation of forecasted vs. actual shipping costs and report variances.
Enter invoices and process payments in Xero using prepayment accounts.
Prepare and manage weekly accredited payment runs.
Collaborate directly with the business owner to continuously refine and document processes.
Contribute to improving processes and suggesting automation opportunities where possible.
Requirements:
Prior experience in accounts payable, accounts receivable, or bookkeeping.
Strong reconciliation skills and a high attention to detail.
Proficient in Microsoft Excel and experienced in using spreadsheets for tracking financial data.
Experience with Xero accounting software (certification is a plus).
Ability to follow processes accurately and work independently.
Strong English communication skills, both spoken and written.
Willingness to learn and adapt quickly in a fast-moving export business.
Comfortable working directly with a business owner and taking ownership of daily tasks.
Nice to Have:
Background in export/import logistics or supply chain administration.
Experience supporting businesses in agriculture, meat, or perishable goods industries.
Interest or experience in business process automation.
