Job Requirements:

  • Property Management Experience: Minimum of 2.55 years of experience in property management, with a proven ability to handle large portfolios of tenants and clients.
  • Buildium or Portfolio Proficiency (Highly Preferred): Demonstrated expertise in using Buildium or similar property management platforms for billing, reporting, and tenant communication.
  • Inbound Call Handling: Experience managing inbound calls from tenants and potential tenants, ensuring professional and effective communication.
  • Strong Multitasking Skills: Ability to manage multiple priorities, including tenant issues, maintenance requests, and monthly reporting, without compromising attention to detail. 
  • Financial Acumen: Experience managing billing and invoicing processes, including late fees, monthly payments, and maintaining accountability for all tenants. 
  • Communication and Organizational Skills: Excellent verbal and written English communication skills, with the ability to send timely notifications to tenants, coordinate with attorneys, and build strong relationships with property owners. 
  • Knowledge of Local Laws: In-depth understanding of local rent control laws, rent increase regulations, and Section 8 compliance requirements.

Core responsibilities:

  • Tenant Management: Oversee 257 tenants, ensuring rent payments are received by the 6th of each month. 
  • Follow up on late payments, coordinate with attorneys as needed, and ensure compliance with rent control and other local regulations.
  • Inbound Calls: Handle inbound calls from tenants and potential tenants, addressing their concerns and providing assistance as needed.
  • Tenant Communication: Proactively reach out to tenants for important updates, reminders, and follow-ups, including late payments, maintenance requests, or lease inquiries. 
  • Email Management: Respond to tenant and property owner emails promptly and professionally, ensuring all queries and concerns are addressed effectively. 
  • Client Relations: Maintain relationships with 37 property owners, providing detailed monthly reports on all activities and financial updates for their properties.
  • Maintenance Coordination: Address maintenance requests promptly, including coordinating with vendors and contractors for repairs.
  • Ensure all issues are resolved efficiently and documented appropriately. 
  • Billing and Invoicing: Manage monthly invoices for property owners using Wave platform, ensuring itemized breakdowns of services provided and accuracy in all billing processes. 
  • Reporting: Prepare detailed rent rosters by the 15th of each month and comprehensive reports summarizing tenant activities, payments, and property updates for owners by the last day of the month. 
  • Compliance and Legal Support: Stay up-to-date with Section 8 regulations and local property laws, ensuring compliance in all operations. 
  • Handle tenant notifications related to rent increases, rent control, and vehicle removals, including letters, emails, or tow coordination.
