Job description

Role Summary 

The Billing Operations Manager is responsible for optimizing the end-to-end subscription billing process, ensuring accuracy, efficiency, and alignment across the customer journey and department lines. This role will play a critical part in managing our quote-to-cash systems (Salesforce + Netsuite), and billing operations support for front-line teams. Additionally, the position will take ownership of sales deal desk processes: supporting sales and renewals teams, addressing day-to-day operational challenges and streamlining and optimizing subscription management. The ideal candidate is a hands-on problem-solver with a strong understanding of SaaS billing, financial operations, and cross-functional collaboration.


What you will do 

Quote to Cash Process

  • Support Salesforce CPQ system’s stability and continuous improvements to support subscription and billing processes.
  • Train and support sales and billing teams on CPQ best practices, configurations, and updates.
  • Support the integration between Salesforce CPQ and Zone Advanced Billing within NetSuite, ensuring seamless data flow through Celigo.
  • Identify and resolve integration issues, working closely with Operations and finance teams to maintain data accuracy and synchronization.
  • Own a roadmap to Drive process improvements in the integration workflow to support scalability and efficiency.
  • Create documentation + SOPs for system integration

Subscription & Billing Operations

  • Lead day-to-day billing operations, handling escalations and addressing issues raised by the front-line team via Slack
  • Establish and maintain billing and invoicing procedures to ensure timely, accurate, and compliant invoicing.
  • Develop and enforce billing policies, aligning with finance and customer success teams on any adjustments or exceptions.

Sales Deal Desk

  • Collaborate with sales, legal, and finance teams to streamline deal desk processes, ensuring alignment with organizational policies and guidelines.
  • Ownership of deal desk inquiries, approval matrix and guidance on pricing, discounts, and contract terms.
  • Establish reporting + visibility into monthly bookings alongside FP&A
  • Review and approve complex deals, help build quotes and use this to drive improvements in the flow

Accounting Tasks

  • Ensure that revenue is reported correctly in accordance with US GAAP
  • Monitor accounts receivable balances and ensure that appropriate action is taken to collect on aged balances
  • Oversee the application of payments to the corresponding invoice(s)
  • Oversee the collection of sales tax 


What you will bring  

  • Bachelor’s degree in Finance, Business Administration, Accounting, Information Systems, or a related field.
  • 5+ years of experience in billing, finance, or revenue operations, ideally in subscription-based or SaaS business models.
  • Proven expertise with CPQ systems (e.g., Salesforce CPQ), including audits, troubleshooting, and enhancements.
  • Hands-on experience with Salesforce and NetSuite; bonus for integration work using Celigo or similar tools.
  • CPA or significant accounting experience is a strong advantage.
  • Proficiency in billing/invoicing procedures and enforcing policies for accuracy and compliance.
  • Experience with project management tools (e.g., ClickUp) and communication platforms like Slack.
  • Skilled at creating and analyzing billing metrics, identifying trends, and improving processes.
  • Data-driven with the ability to manipulate and troubleshoot large datasets.
  • Strong problem-solving, organizational, and multitasking skills in fast-paced environments.
  • Excellent communication and collaboration skills for cross-functional teamwork.
  • Detail-oriented with a focus on maintaining accurate documentation and scalable systems.
