Trek Travel provides global cycling, hiking, and walking vacations of a lifetime with the goal of helping more people actively explore and experience the world. We are looking for a Trip Design Coordinator (TDC) to join our team. The ideal candidate should be both a high-level thinker, and a detail-oriented person who can analyze the business and make strategic decisions efficiently and effectively. A Trip Design Coordinator is responsible for the complete management of Trek Travel trips in their assigned regions.
POSITION RESPONSIBILTIES INCLUDE, BUT NOT LIMITED TO:
Coordinate the preparation of all guest information on the website itinerary.
Coordinate the preparation of all sales information for all trips.
Negotiate and contract all hotels and subcontractors for the trips.
Create trip budgets for all trips and work with the Finance Department to manage costs, projections, and profit margins.
Coordinating with the Sales staff to maintain and manage room counts at all hotels. You will be aware of and closely monitor all cancellation policies with all hotels with the goal of avoiding or reducing cancellation fees.
Prepare all documents for Guides in advance enabling them to execute the trip as designed and regularly communicate with them throughout the season regarding the trip and possible improvements. You will arrange a pre-season meeting with each Guide team to go over all specific trip documents, answer questions, and address any outstanding issues.
Arrange a post-season meeting with Guides to recap the season and ensure that all trip related documents, are properly updated and posted to SharePoint.
Work closely with Trek Travel Marketing team to promote your trips.
Receive and review all TERs (Trip End Report) and Guest Evaluations and work with the office staff to implement changes for future trips based on Guide and Guest feedback.
Receive and review all TBCS (Trip Budget Cost Sheet) from the Guides after each trip to ensure that trip margins are being met and work with the Finance Department to adjust them as needed.
Work with the Guide Services Manager to properly schedule adequate FTP and FAM time for Guides working in the area for the upcoming season.

Preferably has at least 3 years of guiding experience
Familiar with MS Office, SharePoint, Teams, and comfortable working with Trip Budgets. We also use Asana, PowerBi, NetSuite, Planful, so the ability to quickly learn other software programs is also required.
Deadline-oriented; the successful applicant will have demonstrated the highest level of accountability in their previous trip-guiding paperwork and end of trip reports.
Preferably has experience doing trip design and/or research.
Excellent communication skills, both written and verbal.
Strong organizational skills and computer skills.
Must be in possession of a computer and internet connection if based at home
