Job Role: Remote Back Office Assistant
Work Schedule: Monday - Friday 9 AM - 5:30 PM (AU Time Zone)
Salary range:        $1200 - 1500 AUD

Role Overview: The Remote Back Office Assistant is responsible for providing essential administrative, operational, and documentation support to both the Underwriting and Front Office teams. This role ensures seamless loan processing, record-keeping, compliance checks, and other backend tasks that enhance efficiency and accuracy in loan applications and customer interactions. Additionally, the role supports loan book management, team collaboration, and administrative functions to maintain smooth business operations. 

Key Responsibilities:

1. Loan Applications Assessment & Underwriting Support: 

  • Review and assess loan applications for pre-sale improvement loans, VPA loans, deposit funding, and equity release loans. 
  • Verify applicant eligibility, including property ownership, residency status, and other criteria. 
  • Conduct property value assessments using tools such as desktop valuations, RP Data reports, and market information from real estate agents. 
  • Utilise Salesforce for application tracking, documentation, and reporting. 
  • Use Excel & Outlook for efficient communication with internal and external stakeholders. 

2. Administrative & Document Management: 

  • Assist in reviewing, organising, and maintaining loan application documents. 
  • Ensure all documentation is accurately recorded and stored in compliance with company policies. 
  • Upload and update records in Salesforce and other internal systems. 
  • Provide administrative support such as data entry, filing, and documentation. 
  • Learn and adhere to company policies and procedures to ensure compliant operations. 

3. Compliance & Record Keeping: 

  •  Ensure all loan applications meet internal credit policies and regulatory requirements. 
  • Maintain strict adherence to AML (An-Money Laundering) and KYC (Know Your Customer) guidelines. 
  • Maintain organised records of client interactions, transactions, and loan progress. 
  • Ensure the accuracy and completeness of all documentation related to loan applications and customer interactions. 

4. Loan Book Management Support: 

  • Assist the loan book management team in maintaining a healthy loan book. 
  • Check online listing links, update property status in Salesforce, and ensure all loan book data is accurate and up to date. 
  • Conduct calls to conveyancers to confirm settlement details, contributing to accurate loan book records. 

5. Front Office Assistance & Customer Support: 

  • Assist with customer inquiries via email, ensuring efficient and professional communication. 
  • Provide support to loan applicants, guiding them through documentation and submission requirements. 
  • Follow up with clients to ensure timely submission of required documents. 

6. Team Collaboration & Communication: 

  • Interact and collaborate effectively with other team members, fostering a positive and cooperative work environment. 
  • Contribute to the team's overall success through open communication and a collaborative mindset. 
  • Participate in team meetings, sharing insights and updates on backend operations. 

7. Process Improvement & Technology Utilization: 

  • Use Excel, Outlook, and FinTech tools to streamline operations. 
  • Identify bottlenecks in the loan application process and recommend improvements. 
  • Stay updated on real estate and financial industry trends that may impact loan processing.

Qualifications:

  • Experience: 1-3 years in administrative support, finance, or a back-office role (preferably in lending or real estate). 
  • Technical Skills: Proficiency in Salesforce, Microsoft Excel, Outlook, and other CRM/loan management systems. 
  • Attention to Detail: Ability to identify errors and inconsistencies in loan applications and documentation. 
  • Analytical Thinking: Ability to assess financial information and support underwriting decisions. 
  • Organisational Skills: Strong ability to manage multiple tasks with minimal supervision. 
  • Communication Skills: Strong written and verbal communication skills for email correspondence and team collaboration. 
  • Compliance Awareness: A basic understanding of AML, KYC, and credit policy regulations is a plus.
