The Cerity Partners Family Office is seeking a detail-oriented and proactive Operations Associate to support the execution of transactions, account administration, and client service operations. In this role, you will work closely with Advisors, internal teams, and custodians to ensure timely and accurate processing of account-related requests. The ideal candidate thrives in a fast-paced environment, has strong communication skills, meticulous attention to detail, and the desire to learn and grow with our team.

Primary Responsibilities

Account Administration & Custodian Liaison

  • Complete and review account openings, journal transfers, standing letters of authorization (SLOAs), and document submissions
  • Act as liaison with custodian representatives to facilitate transactions, expedite requests, verify authorizations, and resolve outstanding items as needed
  • Monitor custodian platforms daily for status updates and required actions

Transaction Processing & Compliance

  • Process and oversee wire transfers, ACH/direct deposits, and asset transfers
  • Review all custodian documents for accuracy and compliance before submission
  • Ensure all transactions adhere to internal controls, risk protocols, and regulatory standards

Client Support & Document Preparation

  • Prepare and review client-facing documentation for transactions and account maintenance
  • Monitor and track new asset transfers, updating internal stakeholders through the process
  • Provide guidance and support to clients regarding custodian-related inquiries

Operational Efficiency & Technology

  • Maintain and update task lists within Salesforce and internal tracking systems
  • Utilize internal and custodian risk-mitigation tools
  • Support broader operational initiatives and process improvements

Technical Proficiency:

  • Experience with Scwab and Fidelity Institutional custodian platforms and processes
  • Familiarity with money movements processes, account openings, and related forms/applications
  • Proficiency in Microsoft Office Suite, particularly Excel
  • Experience with CRM platforms (Salesforce preferred)

Experience & Education:

  • 2-6 years of experience in operations within financial services, banking, client service, or a related role (wealth management experience preferred)
  • Bachelor’s degree required; Finance, Economics, or a related field is a plus
