Full-Time Kajabi Marketing Manager OBM

Location: Remote

Salary: 2000AUD Paid Bimonthly

Mondays to Fridays Perth Time zone (40hrs/week)

Overview

We need a proactive, highly organized, and tech-savvy Executive & Agency Operations Marketing Manager to keep everything running smoothly. This role is essential in ensuring seamless operations, client support, and event coordination while keeping workflows optimized.   • Organisational & Administrative Support
  • Manage inbox and calendar, prioritizing urgent emails and scheduling efficiently.
  • Handle diary coordination and ensure smooth scheduling.
  • Organize documents, client deliverables, and business administration tasks (onboarding, wrap-ups, support tasks).
  • Optimize workflows using Asana & Google Drive to improve efficiency.
  • Manage and store Zoom recordings & transcripts systematically.
  • Oversee Kajabi tasks, including content updates, automations, and backend management.
  • Act as the main point of contact for clients, speakers, and stakeholders.
  • Handle client interactions with confidence and professionalism.
  • Maintain strong written and verbal communication for clear, concise messaging.
  • Organize logistics for events like Sh*t Show Live Stories and VIP PR Days following established processes.
  • Ensure behind-the-scenes event tasks run smoothly.
  • Communicate with speakers, clients, and vendors to ensure readiness.
  • Required: Asana, Google Drive, Excel, Kajabi
  • Familiarity with: Xero, ChatGPT/AI tools, WhatsApp, ManyChat, Dropbox, Canva, Vid AI, and more.
  • Identify inefficiencies and improve workflows proactively.
  • Thrive in a fast-paced environment while ensuring accuracy and attention to detail.
  • Take initiative and be solution-focused.
  • Work independently while staying responsive during core hours.
  • Be a strategic wing woman to anticipate blind spots and help move the business forward.

Morning Routine & Priorities Check

  • Organize inbox and respond to urgent emails.
  • Review and update CEO’s calendar, confirming meetings.
  • Check Asana for tasks, deadlines, and team progress.
  • Quick alignment with the CEO to clarify priorities.

Business Administration & Client Support

  • Manage client emails and follow-ups.
  • Organize documents and ensure PR client support materials are accessible.
  • Support client onboarding and wrap-ups (contracts, welcome packs, etc.).
  • Keep client deliverables on track and remind the team of deadlines.

Event & PR Support (As Needed)

  • Confirm logistics for Sh*t Show Live Stories & VIP PR Days.
  • Communicate with speakers, clients, and vendors.
  • Update event schedules and checklists.
  • Process event-related admin (ticketing, RSVPs, guest lists).

Operations & Systems Management

  • Maintain and improve workflows in Asana & Google Drive.
  • Manage Zoom recordings & transcripts, ensuring organized storage.
  • Update Kajabi backend, upload content, and check automations.
  • Oversee scheduling and coordination for team members and clients.

End-of-Day Wrap-Up

  • Final inbox check to flag urgent items for the next day.
  • Provide key updates or action items to the CEO.
  • Ensure Asana tasks are up to date.
