Job description

We are looking for a dedicated Service Coordinator to join our dynamic team at Outsource Access. In this role, you will be responsible for overseeing and coordinating our service operations, ensuring an exceptional customer experience while maintaining operational efficiency. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a passion for delivering outstanding service.

Key Responsibilities:
  • Timekeeping & GPS Tracking: Monitor and manage employee work hours and location data using ServiceTrade to ensure accurate payroll and compliance.
  • Scheduling & Dispatching: Coordinate field service appointments, assign technicians, and optimize schedules for efficiency.
  • Customer Management: Maintain accurate customer records, update job statuses, and provide timely communication to clients regarding service schedules and updates.
  • Invoicing & Billing Support: Assist in generating invoices, tracking payments, and ensuring billing accuracy.
  • Compliance & Documentation: Ensure service records, compliance reports, and safety documentation are up to date and properly stored in the system.
  • Operational Support: Provide administrative assistance to field teams, troubleshoot scheduling conflicts, and facilitate smooth service delivery.

Requirements

  • Experience with ServiceTrade or similar field service management platforms is a plus—your ability to navigate these tools will help optimize our daily operations.
  • Strong organizational and time management skills to keep schedules, dispatches, and records running smoothly.
  • Ability to multitask efficiently and work independently in a fully remote setting.
  • Excellent written and verbal communication skills to interact with technicians, clients, and teams for seamless service delivery.
  • Proficiency in Microsoft Office, Google Suite, and other relevant tools to ensure smooth operations.
  • Prior experience in engineering, construction, or fire protection services is an advantage, but adaptability and a willingness to learn are just as valuable.
